The short answer
An AI receptionist for HVAC companies built on HighLevel Voice AI costs about $0.24 per answered call, or $72 a month for 300 calls averaging 3 minutes, phone line included. Roughly 105 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book a tune-up or repair visit
Collects the address, system type and the problem in the caller's words, then offers open slots from the service calendar and confirms the booking by text.
Triage a no-cool or no-heat call
Asks whether the thermostat has power, whether a breaker tripped and when the filter was last changed, and saves the answers so the technician arrives knowing the basics.
Handle after-hours emergencies
Outside office hours, picks out no-heat calls in freezing weather and homes with infants or older adults, and transfers them to the on-call technician. Routine requests are booked for the next morning.
Capture replacement leads
Notes the system's age and brand and the home's square footage, creates an opportunity for the comfort advisor and books an in-home estimate.
What to send to a person
- A caller reporting a gas smell or a carbon monoxide alarm: the AI tells them to leave the home and call the gas utility or 911 from outside, then alerts the on-call technician
- Replacement pricing, rebates and financing terms
- Warranty claims and disputes about a previous repair
- Commercial rooftop units and property manager accounts
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical HVAC company: 300 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $61.20 | $10.49 | $72 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $79.20 | $10.49 | $90 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $180.00 | $10.49 | $190 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $10.49 | $107 | $0.36 |

Compared with staff time
Those 300 calls take about 15 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $274, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling. This is the virtual assistant for the heating and cooling team. Is your system not working right now, or are you calling to schedule service?
CALLEROur AC stopped blowing cold air this afternoon and it's 94 degrees in the house.
AI AGENTSorry to hear that. Does the thermostat screen have power, and have you checked whether the breaker for the outdoor unit tripped?
CALLERThe screen is on. I flipped the breaker and nothing changed.
AI AGENTThank you. Is anyone in the home elderly, an infant, or someone with a health condition that heat makes worse?
CALLERMy mother is staying with us. She's 82.
AI AGENTUnderstood. I'm marking this as a priority and connecting you with our on-call technician now. If the transfer drops, they have your number and will call you right back.
Prompt tips
- Tip 1List the exact conditions that make a call urgent for your shop, such as no heat below a set outdoor temperature or a vulnerable person in the home, so the agent never has to guess.
- Tip 2Give the agent your service area by ZIP code and your diagnostic fee wording, and tell it to quote nothing else, since replacement prices vary too much to state on a call.
- Tip 3Write the gas smell and carbon monoxide instructions word for word, and tell the agent to say them before asking any other question.
Rules to watch
Consent for automated reminder calls and texts. The FCC confirmed in February 2024 that AI-generated voices count as artificial voices under the TCPA, so Voice AI tune-up reminder calls need the customer's prior express consent, and calls that market a service need prior express written consent. Capture consent on the booking form and store it on the contact before a workflow dials anyone.
Refrigerant work stays with certified technicians. EPA requires Section 608 certification for technicians who maintain, service, repair or dispose of equipment that could release ozone-depleting refrigerants. Keep the AI out of refrigerant advice entirely: it should never suggest a recharge or guess at a leak, only book a certified technician to inspect the system.
