The short answer
An AI receptionist for martial arts schools built on HighLevel Voice AI costs about $0.24 per answered call, or $36 a month for 150 calls averaging 3 minutes, phone line included. Roughly 53 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book a trial class
Asks the child's age and experience, picks the right age group, books the trial slot and texts the parent directions and what to wear.
Explain programs by age
Describes the kids, teen and adult programs from the knowledge base, including class length and how many times a week students train.
Answer belt testing questions
Gives the next testing date and fee, explains whether a student needs instructor approval to test, and texts the details to the parent.
Take party and camp inquiries
Collects the date, number of kids and contact details for a birthday party or camp week, and creates an opportunity for the owner to follow up.
What to send to a person
- Tuition agreement cancellations and freezes
- A parent reporting an injury at class
- Questions about a child's special needs or behavior
- Billing disputes
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical martial arts school: 150 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $30.60 | $5.24 | $36 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $39.60 | $5.24 | $45 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $90.00 | $5.24 | $95 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $5.24 | $102 | $0.68 |

Compared with staff time
Those 150 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $137, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHi, you've reached Summit Martial Arts. I'm the school's AI assistant. How can I help tonight?
CALLERMy son is eight and I'd like him to try karate. Do you do trial classes?
AI AGENTWe do. Kids ages 7 to 10 train Monday and Wednesday at 5 pm, and the first class is free. Has he done any martial arts before?
CALLERNo, never.
AI AGENTNo problem, that class starts with the basics. I can book him for this Monday at 5. What's his name, and what's the best mobile number for you?
CALLERLeo Martin. My number is 555-0187.
AI AGENTLeo is booked for Monday at 5. Please arrive ten minutes early, and he can wear a T-shirt and athletic pants. I'm texting you the address and a short parent form now.
CALLERPerfect, thank you.
Prompt tips
- Tip 1Give the agent each age group with its exact days and times, because most callers are parents asking what fits their child's age.
- Tip 2Tell the agent never to discuss agreement terms beyond the published monthly price; commitment and cancellation questions go to the owner.
- Tip 3Add a rule that any call about an injury at class is transferred or flagged urgent rather than handled by the AI.
Rules to watch
Texting parents. Class texts go to the parent's phone, so the consent has to come from the parent who owns that number. The FCC treats marketing texts as needing written consent, so the trial class form should carry a clear opt-in, and a stop reply must end promotional texts.
Program claims. Ads for self-defense or anti-bullying programs should describe what the class teaches rather than promise outcomes, such as a child never being bullied again. FTC guidance requires ad claims to be truthful and backed by evidence.
