The short answer
An AI receptionist for septic service companies built on HighLevel Voice AI costs about $0.24 per answered call, or $53 a month for 220 calls averaging 3 minutes, phone line included. Roughly 66 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Triage emergencies
Ask whether sewage is coming back into the home, whether any drains still work and whether the tank is overflowing outside, then transfer or alert the on-call driver for true backups.
Book routine pumping
Collect the address, tank size if known, the last pumping date and whether the lid is exposed, then book the next open route day for that area.
Schedule inspections for home sales
Take the property address, closing date, agent contact and access details, and book an inspection that leaves time for the report before closing.
Explain pricing basics
Read the standard pumping price and common extras, such as digging for a buried lid, from the knowledge base, and explain that the final bill depends on what the driver finds.
What to send to a person
- Sewage inside the home at night or on weekends
- Drain field failure and replacement quotes
- Disputes over inspection results during a sale
- Permit questions for new systems or repairs
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical septic company: 220 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $44.88 | $7.69 | $53 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $58.08 | $7.69 | $66 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $132.00 | $7.69 | $140 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $7.69 | $105 | $0.48 |

Compared with staff time
Those 220 calls take about 11 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $201, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling Clearwater Septic, this is the automated assistant. Are you calling about a problem right now or to schedule routine service?
CALLERKind of both. The downstairs toilet is gurgling and the tub drains really slowly.
AI AGENTIs any water or sewage coming back up into the house right now?
CALLERNo, not yet. It's just slow.
AI AGENTThanks. That can mean the tank is due. Do you know when it was last pumped?
CALLERHonestly, maybe five or six years ago.
AI AGENTThen pumping is a sensible first step. I have tomorrow afternoon open. Do you know where the tank lid is, or is it buried?
CALLERI think it's buried near the back patio.
AI AGENTNo problem, the driver will find it. You're booked tomorrow between 1 and 4, and a confirmation text is coming. If water starts coming up before then, call back and say 'backup' so we can send someone sooner.
Prompt tips
- Tip 1Define an emergency precisely in the prompt, such as sewage inside the home or a tank overflowing into the yard, so the agent escalates real backups and books slow drains normally.
- Tip 2Give the AI your service area by county or town, since septic routes are planned by geography and a caller two counties away should hear that before booking.
- Tip 3List the extra charges that surprise customers, like digging for a buried lid or a long hose run, so the agent sets expectations before the truck arrives.
Rules to watch
Local permits and oversight. EPA notes that individual septic systems are regulated by states, tribes and local governments, and that in most states local health departments issue the permits to install them. Disposal of pumped septage falls under EPA's sewage sludge rule, 40 CFR Part 503. The AI should never tell a caller a repair needs no permit.
Service interval claims. EPA suggests an inspection by a septic professional at least every three years and says household tanks are typically pumped every three to five years, depending on household size, wastewater volume and tank size. Present intervals as general guidance in reminders, never as a promise about a particular system.
