The short answer

GoHighLevel for pilates studios works as one system for calls, texts, bookings, reviews and follow-up. A single Pilates studio fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $142 a month. An agency running ten pilates studios on Unlimited pays about $75 per business.

A reformer studio has a fixed number of machines, so every empty reformer in a class is revenue that cannot be recovered, and every late cancellation counts. Many studios also ask new clients to take an intro private before joining group reformer, which creates more scheduling calls than a mat studio. Callers ask about equipment, levels and whether Pilates helps their back, and the instructor who could answer is usually mid-class. Missed calls and slowly filled openings show up directly in the week's numbers.

Why pilates studios miss leads

These are the calls and messages a typical Pilates studio has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Intro private or new client special
  • Reformer versus mat classes
  • Class pack and membership prices
  • Late cancellation fee questions
  • Getting into a full class
  • Pilates after an injury or during pregnancy
  • Instructor certification program

Five workflows to build first

  1. Intro private to group reformerNew clients book an intro private on the instructor's calendar, then get a text after the session listing the group reformer classes they can join and a class pack link. A reminder follows if they have not booked a group class within a week.
  2. Late cancellation remindersReminders go out the day before and a few hours before each class, restating the cancellation window. Late cancels are tagged so the front desk can apply the fee under the studio's written policy.
  3. Open spot text blastWhen a client cancels from a full evening class, the front desk triggers a text to clients tagged for that time slot. The first person to book through the link gets the reformer.
  4. Class pack expiryClients get an email two weeks before their pack expires showing their remaining classes, then a text a few days before, so they book the classes instead of losing credits and feeling shortchanged.
  5. Teacher training applicantsPeople asking about instructor certification fill an application form, get the program outline and dates by email, and are invited to an info session. Applicants move through their own pipeline, apart from class clients.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

What it costs

Our assumptions for a typical Pilates studio: 140 calls a month answered by Voice AI at 2.5 minutes each, 1,000 text segments and 3,000 emails. These are starting points, not measured data.

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.20 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for pilates studios.

Rules to watch

Health questions stay with instructors. Pilates studios hear about back pain, pelvic floor issues and surgery recovery constantly. The AI should not give health guidance, and FTC guidance requires ad claims to be truthful and evidence-based, so keep phrases like 'fixes back pain' out of scripts, ads and texts.

Outbound AI calls need consent. If the studio uses Voice AI to call leads, the FCC ruled in February 2024 that AI-generated voices are artificial voices under the TCPA. Those calls need the person's prior express consent, and written consent for telemarketing, so put that wording on the intro offer form.

Mindbody, Momence, Arketa, Mariana Tek, WellnessLiving. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.

Which plan

One Pilates studio fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many pilates studios should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How much does GoHighLevel cost for a Pilates studio?
About $142 a month on our assumptions: the Starter plan at $97, and usage for 140 AI-answered calls, 1,000 texts and 3,000 emails. Change the numbers in the calculator to match your Pilates studio.
Can GoHighLevel limit class sizes to the number of reformers?
Yes. A class booking calendar sets a seat capacity per session, and each booking takes one seat until the class is full. Set the capacity to your machine count, such as ten reformers, and the booking page stops accepting spots at ten. Recurring availability handles a fixed weekly timetable.
Does HighLevel run a waitlist for full Pilates classes?
We could not confirm an automatic waitlist on HighLevel's class booking calendar, so plan a workaround. Tag clients who want a particular slot, and send an open spot text to that tag when someone cancels. It takes one step from the front desk, and the first client to book through the link gets the reformer.
Can HighLevel sell class packs and memberships?
Yes. Order forms and payment links sell packs, and recurring payments handle monthly memberships through Stripe or other supported providers. Tracking how many classes remain in a pack takes a custom field and a workflow, so studios with complex credit rules should test this carefully during the 14 day trial.
Is HighLevel useful for a Pilates teacher training program?
Yes, mainly for enrollment. Application forms, info session calendars, email sequences and an applicant pipeline all fit well. Course material can sit in HighLevel's Memberships area as video lessons behind a login, and a community space can host trainee discussion between training weekends.
