The short answer

GoHighLevel for print shops works as one system for calls, texts, bookings, reviews and follow-up. A single print shop fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $148 a month. An agency running ten print shops on Unlimited pays about $81 per business.

A print shop quotes all day. Business cards, banners, menus, event programs: nearly every job is custom, so customers call to ask price, turnaround and whether their file will work. Quotes emailed out and never chased are the biggest leak, and rush jobs arrive by phone just when the person who knows the press schedule is at the counter or running a job. Repeat customers, such as restaurants that reprint menus, tend to reorder when someone reminds them.

Why print shops miss leads

These are the calls and messages a typical print shop has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Price for a quantity of cards, flyers or banners
  • Whether a job can be ready by a certain date
  • Which file format or resolution to send
  • Checking if an order is ready for pickup
  • Reordering a past job
  • Asking for design help

Five workflows to build first

  1. Quote follow-upEvery quote the shop sends becomes an opportunity. If the customer has not approved it in two days, a text asks whether they have questions about paper or finish; at day five the counter manager gets a call task. Approved quotes move straight to production.
  2. Ready for pickup textWhen staff move a job to the 'Ready' stage, the customer gets a text with shop hours and the pickup address, and a reminder three days later if the job is still waiting on the shelf.
  3. Reorder remindersFor recurring jobs such as menus, business cards or school programs, a date field set at pickup triggers an email and text a few weeks before the customer is likely to run out, with a link to request the same job again.
  4. Artwork upload and prepress checkCustomers upload files through a form that asks size, quantity and deadline. The workflow emails your file specs and creates a prepress task, so low resolution or missing bleed is caught before the quote is final.
  5. Seasonal offers to business customersA quarterly email to past business customers features seasonal work (holiday cards, trade show banners, graduation signs) with a quote request link, sent only to contacts who have not unsubscribed.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

What it costs

Our assumptions for a typical print shop: 180 calls a month answered by Voice AI at 3 minutes each, 400 text segments and 1,500 emails. These are starting points, not measured data.

Voice AI (Pay per use) $36.72 $36.72

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.24 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for print shops.

Rules to watch

Promotional email to business customers. Seasonal promotions to past customers are commercial email under CAN-SPAM, which applies to business-to-business messages too. Each one needs a truthful subject line, your physical shop address and an unsubscribe link you honor within 10 business days.

Pickup texts versus promotional texts. FCC rules require prior consent for automated texts to mobile phones, and written consent when the text is an advertisement. Collect a separate marketing opt-in at the counter or on the order form, and keep ready-for-pickup messages free of promotions.

General information, not legal advice. Check the rules for your state with a qualified professional.

Software print shops often use

PrintSmith Vision, Printavo, Adobe Acrobat, Adobe Illustrator, QuickBooks, Canva. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.

Which plan

One print shop fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many print shops should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

Is HighLevel a print shop management system?
No. It is a CRM and marketing platform, not print MIS software, so job tickets, press scheduling and stock stay in your existing system. HighLevel handles the customer side: website and quote forms, a pipeline for quotes, pickup and reorder texts, review requests, email campaigns and invoices.
Can customers pay for print jobs through HighLevel?
Yes. You can send invoices or estimates, and text-to-pay links let a customer pay from their phone before pickup. Tap-to-pay is also among HighLevel's payment features, and supported providers include Stripe, PayPal, Square and Authorize.net. Payments land on the customer's record next to the job.
How do print shops get more reviews with HighLevel?
Send a review request automatically when a job is picked up, by text with a direct link to your Google profile, and let Reviews AI draft replies at $0.01 per AI reply sent on pay per use. Send the request to every customer, not only happy ones; the FTC has said asking only satisfied customers could violate the FTC Act.
What does HighLevel cost a single print shop?
Starter is $97 a month, or $970 a year paid annually, with unlimited users and contacts. Usage is extra: a local number is $1.15 a month, texts $0.00747 a segment plus carrier fees, and email $0.675 per 1,000. A shop sending 400 texts and 1,500 emails a month adds only a few dollars, plus A2P registration fees.
