Prompt tips
- Tip 1List the brands and appliance types you service and the ones you do not, such as built-in refrigeration or commercial ovens, so the AI turns away the wrong jobs on the first call.
- Tip 2Spell out exactly how the diagnostic fee works, including when it is credited, because nearly every caller asks before they will book.
- Tip 3Write a separate safety section for gas odors, sparking and flooding that overrides the booking flow and always ends in a transfer or an urgent alert to staff.
Rules to watch
Refrigerant technician certification. EPA rules under Clean Air Act Section 608 require technicians who service equipment containing refrigerant to be certified. Type I certification covers small appliances, meaning factory-sealed units holding five pounds of refrigerant or less. Keep certificates on file and never let the AI promise sealed-system work from a tech who lacks one.
Warranty statements. The FTC says companies cannot void a warranty only because the owner used an independent repair shop or third-party parts, though they may deny coverage for damage the outside repair caused. Let staff answer detailed warranty questions, and keep the AI from telling callers that a repair will or will not affect their coverage.
