The short answer

An AI receptionist for cleaning services built on HighLevel Voice AI costs about $0.24 per answered call, or $53 a month for 220 calls averaging 3 minutes, phone line included. Roughly 55 of those calls (25%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Quote from home details

Asks bedrooms, bathrooms, square footage, pets and how often, then gives the price you set for that combination and books a first clean.

Explain what each clean includes

Reads from your checklist so callers hear exactly what standard, deep and move-out cleans cover, and what costs extra.

Take skip and reschedule requests

Notes the visit the client wants to skip or move, books a new time if they want one, and alerts the scheduler to update the cleaner's route.

Take access instructions

Records entry codes, key locations and alarm notes in a dedicated custom field instead of a free-text note, and reads them back to the caller to confirm.

What to send to a person

  • Damage or breakage claims
  • Complaints about a specific cleaner
  • Commercial and post-construction cleaning bids
  • Homes outside your standard price table, such as heavy clutter or hoarding situations

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical cleaning company: 220 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.

Compared with staff time

Those 220 calls take about 11 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $201, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTHello, you've reached the cleaning team's booking line. I'm a virtual assistant. Are you booking a new cleaning or calling about an existing one?

CALLERNew. How much for a three-bedroom, two-bath house every two weeks?

AI AGENTFor three bedrooms and two baths every other week, our standard clean is priced by square footage. About how many square feet is the home, and do you have pets?

CALLERAround 1,800, and one cat. Do you bring your own supplies?

AI AGENTYes, cleaners bring all supplies and equipment. That size puts you in our middle tier, and I'll text you the exact price with a booking link. The first visit is usually a deep clean so regular visits stay on schedule. Would you like to book it?

CALLERSure, sometime next week.

AI AGENTI have Tuesday at 9 or Wednesday at 1.

CALLERWednesday.

AI AGENTYou're booked for Wednesday at 1. I'll text the checklist and ask for entry instructions before the visit.

Prompt tips

  1. Tip 1Paste your full price table into the knowledge base by bedrooms, bathrooms and frequency, and tell the agent to quote only from it and hand off anything outside it.
  2. Tip 2Give the agent the exact checklist for each clean type so it never promises tasks your crews don't do, such as laundry or inside windows.
  3. Tip 3Tell it to read entry details back to the caller word for word, since a wrong gate code wastes an entire visit.

Rules to watch

Reviews and incentives. Some cleaning companies offer a discount for leaving a review. FTC guidance says an incentive must not depend on the review being positive and that the review should disclose it. The FTC's 2024 rule also bans fake reviews and restricts reviews from employees or their relatives that hide the connection.

Text and email consent. Keep reminder texts separate from promotions and store marketing consent on the contact. Under the FTC's CAN-SPAM guidance, promotional emails need an accurate subject line, your valid postal address and a working opt-out that you honor within 10 business days.

Questions

Can an AI receptionist give cleaning quotes over the phone?
Yes, if you give it a price table. It asks for bedrooms, bathrooms, square footage, pets and frequency, then reads the matching price. Homes outside the table, heavy buildup or post-construction jobs should go to a walkthrough or the owner. Keep the wording consistent with your website.
How much would an AI receptionist cost a cleaning business?
With our assumption of 220 calls a month at 3 minutes each, pay-per-use Voice AI and phone minutes come to roughly $53 a month, about 24 cents a call. That assumes a standard voice and a budget AI model; a premium ElevenLabs voice costs more per minute.
Will clients know they are talking to an AI?
They should. Have the agent say it is a virtual assistant in its greeting and offer a person on request. Clients who hand over keys and alarm codes care about who they are dealing with, and being upfront avoids complaints when they find out later.
Can the AI handle skip-a-week requests?
It can take the request, offer another day that week and book it, then trigger a workflow that tells the scheduler to remove the original visit. Set a cutoff, for example 48 hours, and have the agent pass later requests to a person so crews are not left with gaps.
