The short answer
An AI receptionist for concrete contractors built on HighLevel Voice AI costs about $0.32 per answered call, or $38 a month for 120 calls averaging 4 minutes, phone line included. Roughly 30 of those calls (25%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book an estimate visit
Take the address, the project type, approximate square footage and whether old concrete must be torn out, then book the estimator's calendar with those notes attached.
Separate homeowners from builders
Ask whether the caller is a homeowner, a builder or a property manager, and send commercial bid requests to the owner as a task instead of booking them into the residential calendar.
Handle reschedule calls
Explain that pour dates depend on weather and ready-mix availability, confirm the customer's details, and log a callback task so the office can give the new date.
Set timing expectations
Read the current booking lead time from the knowledge base and walk the caller through estimate, deposit and pour date, so they understand why a firm date comes later.
What to send to a person
- Builder and commercial bids
- Pricing stamped or decorative work
- Complaints about cracking after a pour
- Access problems such as shared driveways or easements
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical concrete contractor: 120 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |

| AI Employee Unlimited, $97 flat | $97.00 | $5.59 | $103 | $0.85 |

Compared with staff time
Those 120 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $146, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTYou've reached Summit Concrete. I'm an automated assistant. Are you calling about a new project or a job we already have scheduled?
CALLERNew project. Our driveway is cracked all over and we want it replaced.
AI AGENTWe can help with that. Roughly how long and wide is it, and is it single or double width?
CALLERDouble, maybe 20 by 40.
AI AGENTThanks. Are you thinking plain broom finish, or stamped or colored concrete?
CALLERJust plain.
AI AGENTUnderstood. Our estimator can come out Monday at 4 or Thursday at 8 in the morning. Which works for you?
CALLERThursday morning.
AI AGENTBooked for Thursday at 8. You'll get a confirmation text now and a reminder the day before.
Prompt tips
- Tip 1Tell the AI which finishes and project types you pour and which you refer out, such as foundations or slab lifting, so it does not book visits you will cancel.
- Tip 2Put your minimum job size in the prompt so a caller who wants a single small pad hears it before an estimator drives out.
- Tip 3Explain in the prompt that weather controls pour dates, and give the agent a calm reschedule script that never commits to a new date on its own.
Rules to watch
Silica dust from cutting and grinding. OSHA's respirable crystalline silica standard for construction requires employers to control dust from tasks like sawing or grinding concrete, either by following the controls in Table 1 or by measuring exposure, and to keep a written exposure control plan. It shapes crew practice more than phone scripts, but belongs in onboarding.
Utility locates before excavation. PHMSA reminds anyone digging to call 811 so buried utilities are marked at no cost before work starts. Driveway tear-outs and footing excavation both count, so attach the locate request to the workflow that runs when a deposit is paid.
