The short answer
An AI receptionist for fencing contractors built on HighLevel Voice AI costs about $0.32 per answered call, or $48 a month for 150 calls averaging 4 minutes, phone line included. Roughly 45 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book an on-site measure
Collect the address, the material and style the caller wants, rough length, number of gates and any HOA, then book a measure on the estimator's calendar with those notes attached.
Ask about pools
Ask whether the fence will enclose a pool so the estimator brings self-closing gate hardware options and checks the local pool barrier rules during the measure.
Explain lead times
Read the current install backlog from the knowledge base and explain that the date is confirmed once the deposit is paid and utility marks are in place.
Log repair requests
For storm or vehicle damage, ask how many sections are down and whether posts snapped, request photos by text, and create a repair opportunity for the office to price.
What to send to a person
- Property line disputes with neighbors
- Custom designs and commercial or HOA-wide bids
- Insurance claims for storm or vehicle damage
- Moving an install date the crew has already scheduled
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical fence company: 150 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $40.80 | $6.99 | $48 | $0.32 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $52.80 | $6.99 | $60 | $0.40 |
| Pay per use, speech-to-speech (OpenAI) | $120.00 | $6.99 | $127 | $0.85 |
| AI Employee Unlimited, $97 flat | $97.00 | $6.99 | $104 | $0.69 |

Compared with staff time
Those 150 calls take about 10 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $183, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling Ridgeway Fence. I'm the virtual assistant. Are you looking for a new fence or a repair?
CALLERNew fence. We just got a puppy and need the backyard closed in.
AI AGENTCongratulations on the puppy. Do you have a material in mind, like wood privacy, vinyl or black aluminum, and roughly how many feet?
CALLERProbably wood, six foot. Maybe 180 feet with one gate.
AI AGENTThanks. Is your home in an HOA? Some have rules on height and style, and our estimator will check them for you.
CALLERYes, we are.
AI AGENTNoted. I can book a measure on Tuesday at 10 or Wednesday at 3. Which is better?
CALLERWednesday at 3.
AI AGENTYou're set for Wednesday at 3, and a confirmation text is on its way. If you have your HOA's fence guidelines, reply with a photo of them.
Prompt tips
- Tip 1Describe your materials, heights and gate options in plain words, plus what you do not install, so the agent can steer a caller who asks for split rail or a 10-foot privacy wall.
- Tip 2Leave per-foot prices out of the prompt unless you are happy to be held to them; have the AI explain what drives the price instead: material, footage, gates, slope and removing the old fence.
- Tip 3Tell the agent to ask about pools, pets and HOAs on every new-fence call, since each one changes the design and what the estimator needs to bring.
Rules to watch
Call 811 before setting posts. PHMSA, the federal pipeline safety regulator, says 811 is the free number to have buried utilities marked and that states require the call before digging, generally 48 to 72 hours ahead. Build the locate request into the workflow that fires on a paid deposit so no crew digs post holes before the marks are down.
Permits, HOAs and pool barriers. Height limits, setbacks, permits and pool barrier requirements come from local codes and HOA covenants, and they differ from town to town. The AI should never tell a caller a fence is allowed; it collects the details and lets the estimator confirm the rules for that address.
Consent for automated calls. The FCC ruled in 2024 that AI-generated voices are artificial voices under the TCPA, so outbound AI calls need the called person's prior express consent. Use outbound Voice AI only on homeowners who requested a quote, and keep consent wording on every quote form.
