The short answer
An AI receptionist for auto body shops built on HighLevel Voice AI costs about $0.28 per answered call, or $74 a month for 260 calls averaging 3.5 minutes, phone line included. Roughly 78 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book estimate appointments
Collect the vehicle, the damage, whether it drives safely and whether a claim is open, then book an estimate slot and text a photo upload link.
Record insurance details
Take the insurer's name and the claim number if the caller has one, and store them in contact fields so the estimator is ready at the appointment.
Take status calls
Confirm the owner and vehicle, explain the stages the shop uses, and log a status request for the service advisor with a promised callback time.
Hand off tow requests
If the car cannot be driven, collect its location and the caller's number and alert staff to arrange a tow, without promising an arrival time.
What to send to a person
- Insurance disputes and supplement negotiations
- Complaints about paint match or repair quality
- Total loss conversations
- Anyone reporting an injury from the accident
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical auto body shop: 260 calls a month answered by the AI, averaging 3.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $61.88 | $12.12 | $74 | $0.28 |

| Pay per use, speech-to-speech (OpenAI) | $182.00 | $12.12 | $194 | $0.75 |
| AI Employee Unlimited, $97 flat | $97.00 | $12.12 | $109 | $0.42 |

Compared with staff time
Those 260 calls take about 15 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $277, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling Precision Collision. I'm the virtual assistant. Are you calling about a new repair or a car that's already with us?
CALLERNew. Somebody backed into me in a parking lot, and the rear bumper's cracked.
AI AGENTSorry that happened. Is the car safe to drive, and have you opened an insurance claim yet?
CALLERIt drives fine. I opened a claim this morning.
AI AGENTGood. Could you give me your insurer's name and the claim number? I'll attach them to your estimate.
CALLERIt's Harbor Mutual, claim 88-2231.
AI AGENTThanks. I have estimate slots tomorrow at 10:30 or Friday at 2. Which works best?
CALLERTomorrow at 10:30.
AI AGENTYou're booked. I'll text a confirmation and a link where you can upload photos of the damage ahead of time.
Prompt tips
- Tip 1Tell the AI to always ask whether the car is safe to drive and whether anyone was hurt, and to route injuries or unsafe vehicles to a person at once.
- Tip 2List the insurers you work with directly and how your shop handles the rest, so the agent answers 'do you take my insurance' accurately.
- Tip 3Forbid the AI from estimating repair costs or timeframes by phone, and give it a line explaining the estimate and insurer approval steps instead.
Rules to watch
Paint shop air rules. EPA's auto body rule, 40 CFR 63 Subpart HHHHHH, covers shops that spray-apply coatings to motor vehicles. It includes an initial notification, painter training and certification, and spray booth and spray gun requirements. The AI plays no part in compliance, but it should not describe the shop's environmental practices without checked wording.
Warranty and parts questions. The FTC says a manufacturer cannot void a warranty only because an independent shop did the work or third-party parts were used, though it may deny coverage for damage those caused. Keep warranty and parts questions with the estimator, and do not let the AI promise anything about coverage.
