The short answer
An AI receptionist for auto detailers built on HighLevel Voice AI costs about $0.20 per answered call, or $41 a month for 200 calls averaging 2.5 minutes, phone line included. Roughly 70 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Explain the packages
Read each package from the knowledge base, with what it includes, the price by vehicle size and how long it takes, and answer 'what is the difference' questions plainly.
Book the right time block
Match the service to the right appointment length, such as a short slot for a maintenance wash and a full day for paint correction, and book the calendar to fit.
Qualify coating leads
Ask about the vehicle, its age, paint condition and whether it is garaged, then book a paint assessment instead of quoting a coating price over the phone.
Sort out mobile logistics
Confirm the address, whether water and power are available and where the car will be parked, and note anything the detailer must bring in the van.
What to send to a person
- Final pricing for paint correction and coatings
- Damage claims or complaints after a detail
- Fleet, rental or dealership accounts
- Biohazard cleanups such as mold or bodily fluids
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical auto detailing business: 200 calls a month answered by the AI, averaging 2.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $34.00 | $6.99 | $41 | $0.20 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $44.00 | $6.99 | $51 | $0.25 |
| Pay per use, speech-to-speech (OpenAI) | $100.00 | $6.99 | $107 | $0.53 |
| AI Employee Unlimited, $97 flat | $97.00 | $6.99 | $104 | $0.52 |

Compared with staff time
Those 200 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $152, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHey, thanks for calling Gloss Garage Detailing. I'm the virtual assistant. What are you looking to get done?
CALLERMy SUV is a mess inside. Dog hair everywhere, and the seats have some stains.
AI AGENTWe see that a lot. Our full interior package covers a deep vacuum, pet hair removal and stain treatment on the seats, and for an SUV it takes about three hours. Would you like it at our shop or mobile at your home?
CALLERAt home would be great.
AI AGENTSure. Do you have an outdoor outlet and a spot where the detailer can park next to the car?
CALLERYes, there's an outlet by the driveway.
AI AGENTPerfect. I have Saturday at 9 or Sunday at 1. Which do you prefer?
CALLERSaturday at 9.
AI AGENTYou're booked for Saturday at 9. I'll text the confirmation with the SUV price now, and a reminder goes out Friday.
Prompt tips
- Tip 1List every package with its inclusions, price by vehicle size and duration, because detailing callers compare packages line by line and expect clear differences.
- Tip 2Tell the AI never to quote paint correction or coating prices without an assessment, and give it a short explanation of why paint condition changes the price.
- Tip 3Write mobile-service rules into the prompt, including your travel radius and water and power needs, so the agent does not book jobs the van cannot handle.
Rules to watch
Wash water and runoff. EPA's stormwater guidance says vehicle wash water can carry detergents, metals and hydrocarbons into storm drains, and it points to local ordinances that bar unpermitted commercial wash water from the storm system. Mobile detailers should check city rules on capturing water and have the AI tell callers what setup the detailer needs on site.
Honest review requests. The FTC rule on consumer reviews and testimonials prohibits incentives that depend on a review being positive, fake reviews and undisclosed reviews by owners or managers. A discount for any honest review is a different matter from one only for five stars; keep the AI and texts neutral either way.
