The short answer

An AI receptionist for car dealerships built on HighLevel Voice AI costs about $0.21 per answered call, or $125 a month for 600 calls averaging 3.5 minutes, phone line included. Roughly 240 of those calls (40%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Answer vehicle availability

Check the inventory details the store loads into the knowledge base or a feed, confirm whether the vehicle is listed as available, and offer a test drive time with a salesperson.

Book test drives

Collect name, phone, the vehicle of interest and whether there is a trade-in, then book the test drive and text the address and what to bring, such as a license and insurance card.

Book service appointments

Collect year, make, model, mileage and the service needed, then book into the service calendar and text a confirmation with drop-off and shuttle details.

Capture trade-in details

Record the trade-in's year, make, model, mileage and condition in the caller's words, and explain that an appraiser gives the value in person.

What to send to a person

  • Price negotiation and out-the-door quotes
  • Trade-in values and appraisals
  • Credit applications and financing terms
  • Recall and warranty decisions

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical car dealership: 600 calls a month answered by the AI, averaging 3.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.

Setup AI cost Phone line Per month Per call

Compared with staff time

Those 600 calls take about 35 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $639, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling Summit Auto Group. I'm the dealership's AI assistant. Are you calling about sales or service?

CALLERSales. Is the gray 2023 Tacoma on your website still there?

AI AGENTYes, the gray 2023 Tacoma is listed as available. I have a test drive with Andre at 5:30 p.m. today or 10:00 a.m. tomorrow. Would either work?

CALLERTomorrow at 10. What's the lowest price you'd take?

AI AGENTAndre can go over pricing with you in person, including any current offers. Will you have a trade-in?

CALLERYes, a 2016 Civic.

AI AGENTGot it. I've booked tomorrow at 10:00 with Andre and noted the Civic. What name should I put down?

CALLERTom Becker.

AI AGENTThanks, Tom. I'm texting the address and a reminder to bring your license, insurance card and the Civic's title or payoff details.

Prompt tips

  1. Tip 1Connect the agent to current inventory through a regularly updated knowledge base or feed, and tell it to say listed as available rather than promise a vehicle is on the lot.
  2. Tip 2Split sales and service at the first question, with separate calendars, knowledge base sections and transfer numbers for each.
  3. Tip 3Forbid price quotes, payment estimates, trade-in values and credit questions, each with a one-line handoff to a person.

Rules to watch

FTC Safeguards Rule. The FTC says most dealers that finance or lease vehicles are financial institutions under the Safeguards Rule. That means a written information security program, oversight of service providers such as a CRM, and notifying the FTC within 30 days of discovering a breach of unencrypted information on 500 or more consumers.

AI voices and the TCPA. The FCC ruled on February 8, 2024 that AI-generated voices are artificial under the TCPA. Outbound Voice AI calls to leads and service customers need the consent those rules require, and prerecorded telemarketing calls need prior written consent. HighLevel also requires consent language covering AI calls.

Keep credit data out of AI calls. Do not let the AI collect Social Security numbers, income or other credit application details by voice. Text the dealership's secure credit application link instead, so that data stays inside the systems covered by the store's Safeguards Rule program.

Questions

Can an AI receptionist tell callers if a car is in stock?
Only as accurately as the data it reads. Load inventory into the knowledge base or a regularly updated source, and have the agent say a vehicle is listed as available and book a test drive, rather than promise it is on the lot.
What does an AI receptionist cost a dealership?
At our assumption of 600 AI calls a month at 3.5 minutes, pay per use comes to about $171 a month, or $0.28 a call with phone minutes. The AI minutes alone come to about $143, so AI Employee Unlimited at $97 a month is cheaper here, with phone minutes still billed on top.
Can the AI give trade-in values or payment quotes?
It should not. Trade-in values depend on an appraisal, and payment quotes depend on credit and loan terms. The agent collects the trade-in details and books a visit, and a salesperson or finance manager handles the numbers in person.
Can the AI book service appointments too?
Yes. With separate calendars for sales and service, the agent asks which department the caller needs and books accordingly. For service, it collects the vehicle, mileage and concern, and texts a confirmation with drop-off and shuttle details.
