The short answer
An AI receptionist for bars built on HighLevel Voice AI costs about $0.13 per answered call, or $31 a month for 250 calls averaging 1.5 minutes, phone line included. Roughly 50 of those calls (20%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Answer tonight's questions
Gives hours, cover charge, kitchen close time and which games are showing with sound, from a knowledge base the manager updates weekly.
Take group reservation requests
Collects date, party size, occasion and area preference, creates a request for the manager, and tells the caller when to expect confirmation.
Qualify private events
Asks about date, headcount, food and drink package interest and budget, then books a walkthrough with the events manager.
Log lost items
Takes a description of the item and the night it was lost, creates a task for staff, and texts the caller once it is found.
What to send to a person
- Complaints about staff or security incidents
- Anything involving an intoxicated guest or a safety concern
- Buyout pricing and minimum spend negotiation
- Media and police requests
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical bar: 250 calls a month answered by the AI, averaging 1.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $25.50 | $5.83 | $31 | $0.13 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $33.00 | $5.83 | $39 | $0.16 |
| Pay per use, speech-to-speech (OpenAI) | $75.00 | $5.83 | $81 | $0.32 |
| AI Employee Unlimited, $97 flat | $97.00 | $5.83 | $103 | $0.41 |

Compared with staff time
Those 250 calls take about 6 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $114, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling The Copper Tap. I'm the bar's AI assistant. What can I help you with?
CALLERIs the Cowboys game on with sound tonight?

CALLERNice. Can I reserve a table for eight?
AI AGENTFor groups of eight or more, we hold high-top sections with a $200 food and drink minimum. What name should I put the request under?
CALLERMike Torres.
AI AGENTThanks, Mike. I've sent the request to the manager, and you'll get a text within 30 minutes confirming your section. Anything else?
CALLERNo, that's it.
Prompt tips
- Tip 1Keep a weekly knowledge base entry for game schedules, sound and cover so the agent never guesses on the busiest nights.
- Tip 2Tell the agent to alert the manager at once and keep the call short on anything about a fight, an injury or an intoxicated guest.
- Tip 3Never let the agent promise a section; it takes the request and the manager confirms, since the floor plan changes nightly.
Rules to watch
Age 21 in marketing. The minimum legal drinking age in the United States is 21, so drink promotions should only reach adults. Ask for date of birth on text and email signups, keep under-21 contacts out of drink offers, and have the AI avoid promoting drink specials to any caller who says they are underage.
Texting drink specials. Happy hour and event texts are commercial messages, and the FCC says those need written consent. States also regulate how alcohol is advertised in different ways, so check with your state alcohol regulator before starting a drink special campaign.
