The short answer
An AI receptionist for bookkeepers built on HighLevel Voice AI costs about $0.24 per answered call, or $14 a month for 60 calls averaging 3 minutes, phone line included. Roughly 12 of those calls (20%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Qualify new leads
Asks the type of business, monthly transactions, how far behind the books are and which accounting software they use, then books a discovery call.
Explain the pricing model
Describes how the firm prices, such as monthly tiers by transaction volume and separate cleanup fees, in the firm's own wording, without naming a final number.
Take client service messages
Records which client is calling and what they need, such as a report, a correction or a payroll change, and assigns a task to that client's bookkeeper.
Book review calls
Offers slots on the bookkeeper's calendar for a monthly or quarterly review and texts a confirmation with the video link.
What to send to a person
- How to categorize a transaction or its tax treatment
- Payroll changes, which carry deadlines and tax effects
- Requests involving bank or payroll account access
- Billing disputes
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical bookkeeping firm: 60 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $12.24 | $2.10 | $14 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $15.84 | $2.10 | $18 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $36.00 | $2.10 | $38 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $2.10 | $99 | $1.65 |

Compared with staff time
Those 60 calls take about 3 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $55, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling Ledgerline Bookkeeping. I'm the firm's virtual assistant. Are you a client, or looking for help with your books?
CALLERLooking for help. I run a landscaping company and I'm about eight months behind.
AI AGENTWe do catch-up work like that. Which accounting software are you using, and roughly how many transactions go through your accounts each month?
CALLERQuickBooks Online, maybe 200 a month.
AI AGENTThanks. Jordan runs our catch-up projects and can quote once she knows more. She has Thursday at 10 or Friday at 1 for a 20-minute call. Which works?
CALLERFriday at 1.
AI AGENTDone. I'm texting you the confirmation and a short form asking how many bank and credit card accounts you have, which helps Jordan price the work.
CALLERGreat.
Prompt tips
- Tip 1Describe your pricing model in the prompt, including what triggers a cleanup fee, so the AI can set expectations without naming a final price.
- Tip 2Tell the AI to ask for the business name first on service calls, since owners often call from personal phones that do not match the contact on file.
- Tip 3Add a rule that the AI never asks for bank passwords, account numbers or card numbers, and explains how the firm requests access instead.
Rules to watch
Business email still needs CAN-SPAM. The FTC's CAN-SPAM guide says the law covers all commercial email, including business-to-business messages. Marketing emails to owners need an accurate sender, an honest subject line, a physical postal address and an opt-out that is honored within 10 business days.
Owner cell phones and texting consent. Small business owners often give a personal cell number. FCC rules require consent for autodialed texts to cell phones and prior express written consent for telemarketing texts, so add a consent checkbox to the pricing form before any marketing text goes out.
Keep credentials out of messages. Clients sometimes offer bank logins or card numbers by phone or text. Tell the AI to refuse them politely and explain how your firm requests access instead, such as an accountant invite in the client's own software, so sensitive details never sit in call transcripts.
