The short answer
An AI receptionist for business coaches built on HighLevel Voice AI costs about $0.40 per answered call, or $36 a month for 90 calls averaging 5 minutes, phone line included. Roughly 27 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Pre-qualify discovery calls
Ask the caller's business type, revenue band and main goal, and book a discovery call only when they meet your criteria, texting everyone else a link to free resources.
Explain program formats
Describe one-to-one coaching, group programs and masterminds, with session length and frequency from the knowledge base, and share prices only if you publish them.
Reschedule sessions
Move a client's session to an open slot on the coach's calendar within your cancellation policy, and send a confirmation by text and email.
Take speaking and podcast requests
Collect the show or event name, audience, date and proposed topic, tag the contact, and create a task for review.
What to send to a person
- Enrollment conversations and price objections
- Refund requests and program complaints
- Clients in personal or financial crisis
- Requests for specific business advice
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical coaching business: 90 calls a month answered by the AI, averaging 5 minutes. Phone minutes are billed per call and rounded up, so each call bills 5 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $30.60 | $5.24 | $36 | $0.40 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $39.60 | $5.24 | $45 | $0.50 |
| Pay per use, speech-to-speech (OpenAI) | $90.00 | $5.24 | $95 | $1.06 |
| AI Employee Unlimited, $97 flat | $97.00 | $5.24 | $102 | $1.14 |

Compared with staff time
Those 90 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $137, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHi, thanks for calling. I'm the virtual assistant for the coaching team. Are you a current client or interested in working with us?
CALLERInterested. I run a landscaping company, about $600k a year, and I'm stuck doing everything myself.
AI AGENTThanks for sharing that. Is the main goal to build a team you can hand work to, or something else?
CALLERYes, hiring and delegating.
AI AGENTThat's the focus of the operator program. The coach runs a 45-minute discovery call to see if it's a fit. I have Tuesday at 1 or Thursday at 9. Which works?
CALLERThursday at 9.
AI AGENTYou're booked. You'll get a short questionnaire by email so the call can focus on your situation. Is this the best number for a reminder text?
CALLERYes.
Prompt tips
- Tip 1Write out your qualification criteria (revenue band, stage of business) and the exact wording for a polite 'not the right fit yet' with a free resource.
- Tip 2Forbid any statement about results, earnings or revenue growth, and give the agent a neutral answer for 'what results do clients get?'
- Tip 3Have the agent describe programs in facts (weeks, sessions, group size) and leave price talk to the discovery call unless prices are public.
Rules to watch
Earnings and results claims. In January 2025 the FTC proposed extending its Business Opportunity Rule to money-making opportunities, naming business coaching, with substantiation required for earnings claims. The FTC already acts against deceptive earnings claims, so the AI must never tell callers what they will earn or how fast their revenue will grow.
Client testimonials. The FTC's Endorsement Guides say a testimonial describing unusual results needs either proof those results are typical or a clear statement of what people can generally expect, and 'results not typical' alone does not do that. Keep client success stories out of the AI's script unless they meet that standard.
