The short answer

GoHighLevel for business coaches works as one system for calls, texts, bookings, reviews and follow-up. A single coaching business fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $145 a month. An agency running ten business coaches on Unlimited pays about $77 per business.

Business coaches sell a high-trust, high-price service mostly through conversations: a webinar, a podcast appearance or a referral leads to a discovery call, and the call leads to a program. The coach is usually the only closer, so every unqualified call costs selling time and every missed one costs a lead who was ready that week. Around sessions, the coach also juggles scheduling, program payments, group calls and content, and follow-up with people who said 'not yet' fades.

Why business coaches miss leads

These are the calls and messages a typical coaching business has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Asking how coaching programs work and what they cost
  • Booking or moving a discovery call
  • Current client rescheduling a session
  • Invoice or installment question
  • Group program or mastermind start dates
  • Podcast or speaking request

Five workflows to build first

  1. Discovery call applicationThe application form asks business type, annual revenue band, the main problem and readiness to invest. Applicants who meet your criteria see the calendar straight away; others get a free training and a nurture sequence instead of a sales call.
  2. No-show recoveryIf a discovery call is marked no-show, the applicant gets a text within ten minutes with a rebooking link and a second message the next day. After two missed calls, they move to the long-term newsletter list.
  3. Not-yet nurtureProspects who took a call but did not buy get a weekly email with a practical lesson, and a quarterly text asking whether the timing has changed. A reply of 'yes' creates a task for the coach to call.
  4. Program onboardingPaying clients get a welcome email, access to the program's course area in HighLevel's memberships, a booking link for session one, and a text reminder the day before every session.
  5. Installment remindersClients paying in installments get each invoice automatically with a text-to-pay link. When an installment is overdue, a friendly text goes out and the coach gets a task to reach out personally before access is paused.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

What it costs

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.40 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for business coaches.

Rules to watch

Earnings and results claims. In January 2025 the FTC proposed extending its Business Opportunity Rule to money-making opportunities, naming business coaching, with substantiation required for earnings claims. The FTC already acts against deceptive earnings claims, so the AI must never tell callers what they will earn or how fast their revenue will grow.

Client testimonials. The FTC's Endorsement Guides say a testimonial describing unusual results needs either proof those results are typical or a clear statement of what people can generally expect, and 'results not typical' alone does not do that. Keep client success stories out of the AI's script unless they meet that standard.

Software business coaches often use

Zoom, Calendly, Kajabi, Stripe, Notion, Skool. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.

Which plan

One coaching business fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many business coaches should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How much does GoHighLevel cost for a coaching business?
About $145 a month on our assumptions: the Starter plan at $97, and usage for 90 AI-answered calls, 500 texts and 5,000 emails. Change the numbers in the calculator to match your coaching business.
Can a business coach run their whole business on HighLevel?
Much of it: a website and sales pages, application forms, a booking calendar, a pipeline for discovery calls, email and text follow-up, invoices and payments, and a members area for program content. Group programs can use communities, which added live event rooms in April 2026. The coaching calls themselves still run on a video tool such as Zoom.
Does HighLevel replace a course platform like Kajabi for coaches?
It covers the same core pieces, courses, memberships, communities, funnels, email and payments, and adds a full CRM with texting and a phone system. Whether it replaces your current platform depends on how much you value that platform's member experience and how much content you would have to move. Compare both on your actual program first.
How do coaches reduce discovery call no-shows in HighLevel?
Use calendar reminders by email and text at booking, the day before and an hour before, and ask applicants to confirm by replying. A workflow can text no-shows a rebooking link right away. A short pre-call questionnaire also helps, because it gives you context and makes the call feel like a commitment.
Which plan fits a solo coach?
Starter at $97 a month, or $970 a year, is built for one business and includes all core features with unlimited contacts and users. A coach who licenses their program to other coaches and wants to give each one a separate account would look at Unlimited or Agency Pro instead.
