The short answer
GoHighLevel for daycares works as one system for calls, texts, bookings, reviews and follow-up. A single daycare center fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $160 a month. An agency running ten daycares on Unlimited pays about $93 per business.
Daycare directors answer the phone between diaper changes, drop-off lines and state paperwork, and most calls come from parents trying to find care months before they need it. Those parents often call several centers the same day, so the center that answers, explains availability and books a tour has the best chance at the family. Enrolled families call too, about sick days, pickup changes and tuition, and each call pulls staff away from the children.
Why daycares miss leads
These are the calls and messages a typical daycare center has to catch. Each one is a job, a booking or a sale if someone answers quickly:
- Asking about openings for an infant or toddler
- Booking a tour
- Tuition rates and what is included
- Joining the waitlist
- Reporting a child sick or absent
- Pickup by a different adult
- Hours and holiday closures
Five workflows to build first
- Tour booking and follow-upParents who inquire get a text with a tour booking link. After the tour, they receive an email with tuition details and the enrollment packet, and the director gets a call task if they have not enrolled within five days.
- Waitlist updatesWaitlisted families are tagged by age group and desired start date and get a short monthly update. When a spot opens, staff move the next family to 'Offer made', which texts them asking for an answer within 48 hours.
- Enrollment paperwork chaseNew families get reminders by email and text until required forms, such as immunization records and emergency contacts, are uploaded, and the director sees who is still missing documents before the start date.
- Tuition remindersInvoices go out on the same day each month with a text-to-pay link. Families with an unpaid balance after five days get a friendly text, and the director gets a task after ten days.
- Closure alertsFor weather or emergency closures, one workflow sends a text and email to every enrolled family at once, so staff are not making calls during the morning rush.
HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist
Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.32 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for daycares.
Rules to watch
State child care licensing. States and territories set minimum health and safety requirements that child care programs must meet to operate legally, and licensed programs are monitored against them. The AI should repeat only what your license and parent handbook say about ratios, hours and policies, and route licensing questions to the director.
Authorized pickup. Pickup authorization is a safety decision, so the AI must never add or approve an authorized adult by phone. It should take the request and alert the director, who follows your written verification procedure. Keep medical and custody details out of the knowledge base.
Children's data online. COPPA applies to online services directed to children under 13 that collect personal information from them. A daycare's forms are normally completed by parents, but if you use an app or portal that children interact with, check how it handles COPPA.
General information, not legal advice. Check the rules for your state with a qualified professional.
Software daycares often use
Brightwheel, Procare, Kangarootime, Lillio, QuickBooks. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.
Which plan
One daycare center fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many daycares should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.
