The short answer

An AI receptionist for nail salons built on HighLevel Voice AI costs about $0.16 per answered call, or $48 a month for 300 calls averaging 2 minutes, phone line included. Roughly 90 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Book by service length

Knows how long each service takes, such as a gel manicure compared with a full acrylic set with design, and books a slot that fits the chosen technician.

Give service prices

Reads prices for manicures, pedicures, gel, dip, acrylic, fills and add-ons from the menu, and notes that nail art is priced by design.

Arrange group visits

Takes the group size, date and services, books when enough chairs are open, and passes larger parties to the manager to confirm.

Sell gift cards

Explains gift card options and texts the purchase link, or offers to hold a card for pickup at the front desk.

What to send to a person

  • Infections, allergic reactions or injuries after a service
  • Complaints and fix requests
  • Large bridal or event bookings
  • Disputes over no-show fees

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical nail salon: 300 calls a month answered by the AI, averaging 2 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.

Setup AI cost Phone line Per month Per call

Compared with staff time

Those 300 calls take about 10 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $183, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

Sample call

Example AI receptionist call for a nail salonIllustration

AI AGENTHi, thank you for calling Polished Nail Lounge. I'm the salon's virtual assistant. Would you like to book an appointment?

CALLERYes, can I get a gel fill with Lina tomorrow?

AI AGENTLina has 11:30 and 3:00 tomorrow. A gel fill with her takes about an hour. Which time works?

CALLER3:00. Can I add nail art?

AI AGENTSure. Simple art starts at 10 dollars, and Lina will price the design when you're in. I've booked a gel fill with art for 3:00 tomorrow.

CALLERGreat.

AI AGENTI'm texting you the confirmation. If you need to cancel, please reply to that text at least four hours ahead.

CALLEROkay, thanks.

Prompt tips

  1. Tip 1Write service durations per technician into the prompt, since a full set with design can take twice as long as a basic fill.
  2. Tip 2Tell the AI to ask whether the client has existing product on their nails, because removal changes how much time to book.
  3. Tip 3Give it a group booking rule, such as passing any party of five or more to the manager, so it never overbooks chairs.

Rules to watch

Gift card terms. Federal rules in Regulation E cover store gift cards: the funds generally cannot expire sooner than five years after the card was issued or last loaded, and inactivity fees are allowed only after a year without use, no more than one a month, with clear disclosure. State laws can be stricter, so check yours.

Texting consent at sign-in. FCC rules require consent for autodialed texts to cell phones and prior express written consent for promotional ones. Put a clear texting consent line on your booking and walk-in sign-in forms, and keep a record of when each client agreed.

Questions

How much does an AI receptionist cost for a nail salon?
On HighLevel Voice AI, about $48 a month for 300 calls averaging 2 minutes, or $0.16 per answered call including the phone line. That is our estimate from HighLevel's published rates with a standard voice; premium voices cost more per minute.
Can an AI receptionist answer walk-in questions for a nail salon?
It can explain your walk-in policy and offer the next bookable times, but it cannot see how many chairs are free right now. A booked time usually beats an uncertain wait. At 300 calls a month of two minutes, pay per use costs about $36 plus $7 in phone time before tokens.
Can the AI speak languages other than English?
HighLevel Voice AI supports 53 languages and a Multilingual option for English and Spanish in one agent. Pick the language your callers use most, write the menu with the service names clients actually say, and have a fluent staff member test booking calls before launch.
What should the AI do if a client reports an infection?
Treat it seriously and hand it to a person. The AI should suggest the client contact a doctor, record the visit date and technician, and create an urgent task for the manager. It should not guess at causes or offer treatment advice.
Can the AI handle holiday rushes at a nail salon?
Yes. It answers while the salon is full, books into open slots, texts gift card links and takes group requests. Update the knowledge base with holiday hours ahead of time. If AI minutes pass about 1,600 in a busy month, AI Employee Unlimited at $97 becomes cheaper than pay per use.
