The short answer

An AI receptionist for tanning salons built on HighLevel Voice AI costs about $0.16 per answered call, or $24 a month for 150 calls averaging 2 minutes, phone line included. Roughly 45 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Answer hours and packages

Gives hours, single session and package prices, membership levels and what each one includes, reading from the salon's current price sheet.

Book spray tans

Books spray tan appointments, asks the event date so the spray lands a day or two before it, and texts prep instructions.

Take cancellation requests

Records a member's request to cancel or freeze, confirms it will be processed, and creates a task for the manager rather than trying to talk them out of it.

Explain bed levels

Describes the salon's bed levels and session lengths in plain terms, and sends skin type or safety questions to staff.

What to send to a person

  • Any caller under 18, or a parent asking about a teen
  • Skin concerns, sunburn or medication questions
  • Billing disputes
  • Coordinating group bookings

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical tanning salon: 150 calls a month answered by the AI, averaging 2 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.

Compared with staff time

Those 150 calls take about 5 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $91, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

Sample call

Example AI receptionist call for a tanning salonIllustration

AI AGENTHi, thanks for calling Golden Hour Tanning. I'm the salon's virtual assistant. How can I help?

CALLERI need a spray tan before a wedding on the 18th.

AI AGENTCongratulations. We suggest spraying a day or two before the event. We have the 16th at 5:15 or the 17th at 4:30. Which would you like?

CALLERThe 17th at 4:30.

AI AGENTYou're booked. Please exfoliate the day before and come without lotion or deodorant. I'm texting you the full prep list now.

CALLERAlso, how do I cancel my bed membership?

AI AGENTI can take that request now. I've noted that you'd like to cancel, and the manager will process it and text you a confirmation today.

CALLERGreat, thanks.

Prompt tips

  1. Tip 1Tell the AI never to describe tanning beds as safe or healthy and never to mention vitamin D.
  2. Tip 2Write the membership cancellation steps so the AI takes the request during the call instead of telling members to come in.
  3. Tip 3Add a rule that any caller who says they are under 18, or is booking for a teen, is passed to the manager.

Rules to watch

Under-18 warning. The FDA requires sunlamp products to carry the statement 'This sunlamp product should not be used on persons under the age of 18 years', and it says UV exposure can cause skin cancer. State laws may add their own limits on minors. Have the AI pass any question about teens to a manager and never describe beds as safe.

No health benefit claims. In 2010 the Indoor Tanning Association settled FTC charges that it made deceptive health and safety claims, including about vitamin D and skin cancer risk. Keep the AI's script free of health or vitamin D claims and limited to prices, hours and services.

Make canceling simple. For memberships sold online with recurring billing, the FTC says ROSCA requires clear terms, informed consent and a simple way to stop charges, and in 2025 it sued LA Fitness over hard-to-cancel memberships. Let the AI accept cancellation requests by phone and pass them to staff.

Questions

How much does an AI receptionist cost for a tanning salon?
On HighLevel Voice AI, about $24 a month for 150 calls averaging 2 minutes, or $0.16 per answered call including the phone line. That is our estimate from HighLevel's published rates with a standard voice; premium voices cost more per minute.
Can an AI receptionist answer a tanning salon's phone?
Yes. Most tanning calls are simple: hours, prices, spray tan booking and membership questions. At 150 calls a month of two minutes, pay per use costs about $18 plus $3.50 in phone time before tokens, well under the $50 AI Employee Growth plan.
Can the AI talk about tanning and health?
Keep it away from health topics. The AI should not call tanning safe, mention vitamin D or advise on skin types or medications. Have it send those questions to staff, and share only prices, hours, services and your written rules.
Can the AI cancel tanning memberships?
It can take the request, confirm it and create a task so staff process it the same day. Accepting cancellations by phone avoids the in-person-only practices the FTC challenged in its case against LA Fitness. Do not have the AI repeat retention offers after the member says they want to cancel.
What if a teenager calls to book a tanning session?
Have the AI pass the call to a manager or take a message. The FDA requires a warning on sunlamp products that they should not be used by anyone under 18, and state laws may set their own rules. Spray tans can be handled differently, so your policy should say which services teens can book.
