The short answer

An AI receptionist for wellness centers built on HighLevel Voice AI costs about $0.24 per answered call, or $60 a month for 250 calls averaging 3 minutes, phone line included. Roughly 75 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Book consultations

Books assessments or consultations with the right type of provider, asks what the caller is interested in, and texts the intake form.

Explain services and prices

Describes each service, session length and price from approved descriptions, and says a provider decides whether a treatment fits each person.

Handle insurance questions

Explains whether the center bills insurance or provides receipts for reimbursement, following the center's policy, and takes a message for billing staff.

Manage program schedules

Reschedules visits within a program while keeping the spacing the provider set, and flags missed visits for staff to follow up personally.

What to send to a person

  • Whether a treatment is safe or suitable for someone
  • Side effects or symptoms after a treatment
  • Prescription or medication questions
  • Billing and insurance disputes

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical wellness center: 250 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.

Compared with staff time

Those 250 calls take about 13 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $228, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

Sample call

Example AI receptionist call for a wellness centerIllustration

AI AGENTThank you for calling Riverbend Wellness Center. I'm the center's virtual assistant. How can I help today?

CALLERI'm interested in IV therapy. How much is it, and can I just come in?

AI AGENTOur IV sessions start at 149 dollars. A nurse does a short health screening before your first IV, so first visits are booked as appointments. Would you like to schedule one?

CALLERYes. Is it safe if I'm on blood pressure medication?

AI AGENTThat's a question for our nurse, and she'll go over it during your screening. I'll note it so she's ready. Is Tuesday at 9 or Wednesday at 1 better?

CALLERTuesday at 9.

AI AGENTYou're booked for Tuesday at 9. I'm texting you the intake form. Please list all your medications there.

CALLERThanks.

Prompt tips

  1. Tip 1Write approved one-line descriptions for every service and tell the AI to use only those, with no claims about curing or treating conditions.
  2. Tip 2Tell the AI to route every safety, side effect or medication question to a provider and to note the question on the booking.
  3. Tip 3Keep health details out of confirmations: the AI's texts and emails should give the time and place, not the reason for the visit.

Rules to watch

HIPAA when you bill health plans. CMS explains that providers who submit HIPAA transactions, like claims, electronically are covered entities. HighLevel accounts are not HIPAA compliant by default; its HIPAA add-on costs $297 a month, comes with a Business Associate Agreement and cannot be deactivated once enabled. Ask your compliance adviser whether your center needs it.

Health claims need evidence. The FTC says claims about the health benefits or safety of health-related products require competent and reliable scientific evidence. Keep the AI's descriptions of IV drips, supplements and weight programs factual, and never let it say a service cures, prevents or treats a condition.

Questions

Can an AI receptionist work for a wellness center with medical services?
Yes, as a scheduler and front desk, not as a clinician. It can book consultations, describe services with approved wording and send intake forms, while anything about safety, eligibility or side effects goes to a provider. If calls include health details, HighLevel's HIPAA add-on lists voice recordings among the data it encrypts.
What does AI call answering cost a wellness center?
At 250 calls a month of three minutes, pay per use costs about $45 for the voice engine and a standard voice and roughly $9 in phone time, plus AI tokens. Add the $297 HIPAA add-on if your center needs it; that cost is account-wide and does not depend on call volume.
Can the AI tell callers whether a treatment will work for them?
No. It should explain what a service involves and that a provider decides whether it suits each person. Promising results or saying a treatment helps a condition risks unsupported health claims. Write the prompt so any 'will this help my' question leads to a consultation booking.
What should the AI leave out of confirmation texts?
Anything that reveals why the person is coming in. Confirmations should give the date, time, address and provider name, not the treatment or condition. People share phones and lock screens show message previews, so a text naming a weight program can expose more than the client expects.
