The short answer

An AI receptionist for barbershops built on HighLevel Voice AI costs about $0.13 per answered call, or $31 a month for 250 calls averaging 1.5 minutes, phone line included. Roughly 75 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Answer walk-in questions

Gives hours and walk-in rules, then offers the next bookable times so callers who would rather not wait can lock in a chair.

Book with a barber

Checks the chosen barber's calendar, offers the nearest open times, and texts a confirmation with the barber's name and the shop's late arrival rule.

Give service prices

Reads prices for cuts, fades, beard trims, hot towel shaves and kids' cuts from the shop's price list, and says how long each service takes.

Move appointments

Reschedules or cancels bookings, confirms the change by text, and makes the freed slot available to the next caller who wants that barber.

What to send to a person

  • Complaints about a cut
  • Chair rental or job inquiries from barbers
  • Wedding parties and other group bookings
  • A nick, razor burn or skin reaction after a shave

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical barbershop: 250 calls a month answered by the AI, averaging 1.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.

Compared with staff time

Those 250 calls take about 6 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $114, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling Crown and Fade Barbershop. I'm the shop's virtual assistant. Looking to book?

CALLERYeah, can I get in with Marco today?

AI AGENTMarco's next open time today is 4:40, and he also has 6:20. Want one of those?

CALLER4:40. Can that be a cut and beard?

AI AGENTI'll put you down for a cut and beard trim at 4:40 with Marco. That's 45 dollars. What name should I book it under?

CALLERDevon.

AI AGENTYou're set, Devon. I'm texting the confirmation. If you're running late, just reply to the text so Marco knows.

CALLERBet, thanks.

Prompt tips

  1. Tip 1Match the greeting to the shop's style, but keep the AI brief, because barbershop callers want a time rather than a conversation.
  2. Tip 2Tell the AI how walk-ins work at your shop and whether it should steer callers toward booking or tell them to come in.
  3. Tip 3List each barber's specialties, like tapers, designs or straight-razor shaves, so the AI books the right chair for the request.

Rules to watch

Texting consent for reminders. Clients welcome reminder texts, but FCC rules still require consent for autodialed texts to cell phones and written consent for marketing messages. Add a texting consent line to your booking form, and treat a stop reply as an opt-out from every list.

No paid-for praise. Under the FTC rule on consumer reviews, effective October 21, 2024, a shop cannot write or buy fake reviews or reward clients for reviews that express a particular sentiment. A free cut for a five-star review is off the table; ask every client the same way and accept what they post.

Questions

Can an AI receptionist tell callers the walk-in wait?
Not in real time, because it cannot see who is in the chairs. It can explain your walk-in policy, give the next bookable times on each barber's calendar, and book one so the caller skips the line. For many callers, a firm time beats a guess about the wait.
How much does an AI receptionist cost a barbershop?
Barbershop calls are short. At 250 calls a month of about a minute and a half, pay per use costs roughly $23 for the voice engine and a standard voice, plus about $6 in phone time, since each call rounds up to two phone minutes. Add a small amount for AI tokens.
Can the AI sound like it belongs in a barbershop?
HighLevel's library has more than 340 voices, and you can write the greeting in your shop's tone. Keep it friendly and short rather than heavy on slang, and test it on a few regulars. The AI should still say it is a virtual assistant, and callers can ask for a barber.
What if a caller wants a barber who is fully booked?
Have the AI offer that barber's next open day, another barber with the same specialty, or a spot on the waitlist. A workflow can then text waitlisted clients when a cancellation opens a slot with that barber, and the first one to reply gets the chair.
