The short answer
An AI receptionist for day spas built on HighLevel Voice AI costs about $0.24 per answered call, or $72 a month for 300 calls averaging 3 minutes, phone line included. Roughly 105 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book single services
Books massages, facials and body treatments on the right provider's calendar, asks about pressure preference or skin concerns, and texts the intake form.
Handle gift card calls
Explains gift card amounts and spa packages, texts the purchase link, and takes balance or redemption questions as a message for the front desk to answer.
Answer first-visit questions
Covers arrival time, what to wear, locker and robe amenities, gratuity policy and cancellation rules, reading from the spa's written policies so every answer matches the front desk.
Record health notes
Asks whether the guest is pregnant or has a condition the therapist should know about, notes it on the booking, and flags anything the spa's policy says needs approval.
What to send to a person
- Whether a service is safe for a medical condition
- Couples and group bookings that need several rooms
- Complaints, refunds and gift card disputes
- Requests about therapist preference that need a policy decision
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical day spa: 300 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $61.20 | $10.49 | $72 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $79.20 | $10.49 | $90 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $180.00 | $10.49 | $190 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $10.49 | $107 | $0.36 |
The breakdown of every Voice AI charge is in our Voice AI pricing guide. Agencies can price this as a monthly service with the calculator's Price a client tab, preloaded for a day spa.
Compared with staff time
Those 300 calls take about 15 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $274, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThank you for calling Stillwater Day Spa. I'm the spa's virtual assistant. How can I help you today?
CALLERI'd like to book a couples massage for our anniversary next Saturday.
AI AGENTHow lovely. Our couples massage is 60 or 90 minutes in the same room. Next Saturday the couples suite is open at 1 and at 3:30. Which length and time would you like?
CALLER90 minutes at 3:30.
AI AGENTWonderful. Does either of you have an injury, a pregnancy or anything else the therapists should know about?
CALLERNo, nothing.
AI AGENTYou're booked for a 90-minute couples massage next Saturday at 3:30. Please arrive 20 minutes early. I'm texting the confirmation and intake forms for both of you.
CALLERThank you.
Prompt tips
- Tip 1Describe which services need a specific room, like the couples suite or a hydrotherapy tub, so the AI never books two parties into the same space.
- Tip 2Give the AI your exact health screening questions and tell it to flag any yes answer rather than decide whether the service is suitable.
- Tip 3Include your gift card terms, gratuity policy and late arrival rule so the AI answers the same way your front desk would.
Rules to watch
Gift card expiration and fees. Regulation E limits store gift cards: funds generally must last at least five years from issue or last load, and dormancy fees can apply only after twelve months without activity, at most once a month, and only when disclosed on the card. Put your terms on the purchase page and give the AI the same wording.
Health questions stay with staff. A day spa is not a medical provider, and the AI should not judge whether a massage or treatment is safe during pregnancy, after an injury or with a medication. Have it note the condition and pass it to a therapist or manager, and tell the guest to check with their doctor where your policy calls for it.
Consent for holiday promotions. Gift card and holiday offers sent by text are marketing, and FCC rules require prior express written consent for automated telemarketing texts. Keep a consent checkbox on the intake form and send promotions only to guests who ticked it.
