The short answer

An AI receptionist for hair salons built on HighLevel Voice AI costs about $0.16 per answered call, or $56 a month for 350 calls averaging 2 minutes, phone line included. Roughly 123 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Book by service and stylist

Asks which service and stylist the caller wants, checks that stylist's calendar for a slot long enough for the service, and texts the confirmation.

Explain price ranges

Gives starting prices for cuts, color and treatments from the salon menu, and explains that color pricing depends on hair length, thickness and time in the chair.

Reschedule and cancel

Moves or cancels appointments, reminds callers of the cancellation window, and offers the waitlist when no slot fits their schedule.

Sell gift cards

Explains gift card amounts and texts a purchase link, or takes a message for the front desk to finish the sale.

What to send to a person

  • Color correction pricing and planning
  • Complaints about a service or requests for a redo
  • Scalp irritation or reactions after a chemical service
  • Wedding parties and other group bookings

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical hair salon: 350 calls a month answered by the AI, averaging 2 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.

Compared with staff time

Those 350 calls take about 12 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $213, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling Studio Nine Salon. I'm the salon's virtual assistant. What can I book for you?

CALLERI want a full highlight with Jess sometime next week.

AI AGENTJess books full highlights in a three-hour block. She has Tuesday at 10 or Thursday at 1. Would either work?

CALLERThursday at 1. How much is it?

AI AGENTFull highlights with Jess start at 185 dollars, and she'll confirm the price once she sees your hair's length and thickness. You're booked for Thursday at 1.

CALLERGreat.

AI AGENTI'm texting you a confirmation now. We ask for 24 hours' notice to cancel or move it, and you can reply to the text to change the time.

CALLERPerfect, thanks.

Prompt tips

  1. Tip 1Give the AI each service's time block per stylist, since the same color service may take one stylist longer than another.
  2. Tip 2List which stylists take new clients and which only see regulars, so the AI never books a first-timer into a full book.
  3. Tip 3Write the cancellation policy as one sentence and tell the AI to say it at the end of every booking.

Rules to watch

Consent for reminder and promo texts. FCC rules require consent for autodialed texts to cell phones and prior express written consent for marketing texts. Collect texting consent when a client books, keep appointment reminders separate from promotions, and act on stop replies right away.

Rules for review requests. The FTC's rule on consumer reviews, in force since October 21, 2024, bans fake reviews and bars offering something in exchange for a review that expresses a particular sentiment. Ask every client the same way, and if you offer any thank-you, it cannot depend on the review being positive.

Questions

How much does an AI receptionist cost for a hair salon?
On HighLevel Voice AI, about $56 a month for 350 calls averaging 2 minutes, or $0.16 per answered call including the phone line. That is our estimate from HighLevel's published rates with a standard voice; premium voices cost more per minute.
Can an AI receptionist book hair appointments?
Yes. Voice AI can book during the call across several calendars, so each stylist can have their own. It needs to know service lengths per stylist and which services require a consult first. At 350 calls a month of two minutes, pay per use costs about $42 plus $8 in phone time before AI tokens.
Will salon clients mind talking to an AI?
Some will, so keep it quick and honest. Introduce it as the salon's virtual assistant, let callers ask for a person at any time, and transfer during open hours. Routine booking calls suit an AI well, while complaints and color corrections should go to a stylist or the manager.
Can the AI give color prices over the phone?
It can give starting prices from your menu and explain what changes the final price, like length, thickness and how much lightening is needed. It should not quote a firm price for corrections or big changes. Have it book a consultation for those and ask for photos by text.
Can the AI handle last-minute cancellations?
Yes. It can cancel or move the appointment, remind the caller of your policy, and trigger a workflow that texts the opening to a waitlist. It should not argue about fees. If a caller disputes a late cancellation charge, have it take a message for the manager.
