The short answer
An AI receptionist for lash studios built on HighLevel Voice AI costs about $0.16 per answered call, or $24 a month for 150 calls averaging 2 minutes, phone line included. Roughly 60 of those calls (40%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book sets and refills
Books full sets, refills, lifts and tints with the right time block, asks when the last appointment was, and books a longer service if it has been too long for a standard refill.
Explain lash styles
Describes classic, hybrid and volume sets and what each costs, using the studio menu, and suggests a consultation for anyone unsure which look they want.
Screen for sensitivities
Asks about past reactions to lash adhesive or eye products, notes the answer on the booking, and books a patch test when the studio's policy calls for one.
Handle late changes
Reschedules within policy, explains the late cancellation fee calmly without arguing, and sends any request for an exception to the owner.
What to send to a person
- Eye irritation, swelling or signs of a reaction after a service
- Tint requests for anyone under 16
- Retention complaints and fix requests
- Fee disputes
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical lash studio: 150 calls a month answered by the AI, averaging 2 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $20.40 | $3.50 | $24 | $0.16 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $26.40 | $3.50 | $30 | $0.20 |
| Pay per use, speech-to-speech (OpenAI) | $60.00 | $3.50 | $63 | $0.42 |
| AI Employee Unlimited, $97 flat | $97.00 | $3.50 | $100 | $0.67 |

Compared with staff time
Those 150 calls take about 5 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $91, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHi, thanks for calling Flutter Lash Studio. I'm the studio's virtual assistant. Are you booking a refill or a new set?
CALLERA refill with Ana. My last appointment was about four weeks ago.
AI AGENTAna books standard refills within three weeks of the last visit. At four weeks she may need more time, so I'll book a 90-minute appointment to be safe. She has Friday at 10 or Saturday at 2.
CALLERFriday at 10.
AI AGENTYou're booked with Ana on Friday at 10. Please come without eye makeup. Have you had any new sensitivities or reactions since your last set?
CALLERNo, all good.
AI AGENTGreat. I'm texting you the confirmation now. We need 24 hours' notice for any changes.
CALLERThanks!
Prompt tips
- Tip 1Write your refill window as a rule, for example standard refills within 21 days and a longer booking after that, so the AI books enough time.
- Tip 2Ask the AI to confirm eye makeup and contact lens instructions at the end of every first-time booking.
- Tip 3Tell the AI to pass any mention of irritation, swelling or vision changes to the owner as urgent and to suggest the client see a doctor.
Rules to watch
Lash and brow tint rules. The FDA warns that permanent eyelash and eyebrow tints and dyes have been known to cause serious eye injuries, including blindness. It provides only for silver nitrate, up to 4 percent, in professional-use products, not for use on anyone under 16. Confirm your tint meets this, and have the AI mention only services you actually offer.
Reactions go to a person. The FDA notes that eyelids are delicate and that an allergic reaction or irritation in the eye area can be especially troublesome. The AI should never advise on a reaction; have it tell the client to see a doctor for pain, swelling or vision changes, and alert the owner right away.
Consent for frequent reminders. Refill reminders go out often, so get texting consent in writing at booking. FCC rules require consent for autodialed texts to cell phones, and promotional texts need prior express written consent.
