Prompt tips
- Tip 1Map each evaluation type to the right therapist calendar, such as post-surgical, vestibular or pelvic health, so the agent books the specialist the clinic intends.
- Tip 2Write a fixed answer for referral questions saying requirements depend on state rules and the insurance plan, and that staff will confirm.
- Tip 3Tell the agent to capture the surgery date and surgeon's name on every post-op call, because the clinic schedules those patients by them.
Rules to watch
Direct access varies by state. APTA reports that all 50 states, the District of Columbia and the U.S. Virgin Islands allow provisional or unrestricted direct access to physical therapists, but some states still attach conditions to treatment without a referral, and insurers set their own rules. The AI should not tell callers a referral is unnecessary.
HIPAA and the HighLevel add-on. PT clinics that bill insurance electronically are HIPAA covered entities.
