The short answer
An AI receptionist for water damage restoration companies built on HighLevel Voice AI costs about $0.32 per answered call, or $38 a month for 120 calls averaging 4 minutes, phone line included. Roughly 54 of those calls (45%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Stop the water
Asks whether water is still flowing, helps the caller find the main shutoff or the valve on the water heater, and tells them to stay out of water near outlets or cords.
Triage the job
Asks about the source (clean supply line, dirty water or sewage), how many rooms, how long things have been wet and whether ceilings are sagging.
Dispatch the on-call crew
Transfers the caller to the on-call project manager and texts the address, water source and severity so the crew can load the right equipment.
Answer insurance basics
Explains that the homeowner contacts their own insurer to open a claim and that your team documents the damage, without predicting coverage.
What to send to a person
- Sewage, electrical hazards or a sagging ceiling: safety guidance and an immediate transfer
- Any coverage, deductible or payment question
- Mold remediation scope
- Disputes with the insurer or adjuster
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical restoration company: 120 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $32.64 | $5.59 | $38 | $0.32 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $42.24 | $5.59 | $48 | $0.40 |
| Pay per use, speech-to-speech (OpenAI) | $96.00 | $5.59 | $102 | $0.85 |
| AI Employee Unlimited, $97 flat | $97.00 | $5.59 | $103 | $0.85 |
The breakdown of every Voice AI charge is in our Voice AI pricing guide. Agencies can price this as a monthly service with the calculator's Price a client tab, preloaded for a restoration company.
Compared with staff time
Those 120 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $146, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTYou've reached the 24-hour water damage line. I'm the automated assistant and can get a crew started. Is water still coming in right now?
CALLERIt's slowing down. The water heater in the basement burst.
AI AGENTOkay. If you can reach it safely, turn off the cold water valve at the top of the water heater, or the main shutoff. Please stay out of any water near outlets or cords. Is anyone hurt?
CALLERNo. I turned the valve off. There's about an inch of water in the finished basement.
AI AGENTThank you, that helps. Drying within a day or two is important to help prevent mold, so I'm connecting you to our on-call project manager to confirm a crew arrival time.
CALLERThanks. Should I call my insurance company?
AI AGENTYou can open a claim with your insurer whenever you're ready, and our team will take photos and moisture readings to document everything. I'm transferring you now.
Prompt tips
- Tip 1Tell the agent to ask about the water source every time, and to treat sewage, rising water or sagging ceilings as immediate transfers.
- Tip 2Write one neutral sentence about insurance, and forbid the agent from discussing coverage, deductibles or who pays.
- Tip 3Give the agent safe shutoff steps and a clear warning about water near electricity, and nothing more technical than that.
Rules to watch
Speed matters for mold. EPA advises drying water-damaged areas and items within 24 to 48 hours to prevent mold growth, and recommends professional help for large areas or water contaminated by sewage. Your AI can say this plainly to explain why you are dispatching now, but it shouldn't give remediation instructions.
Insurance and payment practices. The FTC warns homeowners about contractors who ask them to sign over an insurance check or pay everything up front after a disaster. Keep the AI away from any payment or claim commitments, and have a person discuss payment terms and paperwork with the homeowner.
Consent for automated calls and texts. Drying updates go to customers who gave you their number for the job, while referral and marketing messages need their own consent. Under the FCC's 2024 ruling, outbound AI-voiced calls need prior express consent.
