The short answer
An AI receptionist for web designers built on HighLevel Voice AI costs about $0.32 per answered call, or $22 a month for 70 calls averaging 4 minutes, phone line included. Roughly 21 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Qualify a new project
Ask about the business, number of pages, whether it needs booking or a store, the budget range and launch date, then book a discovery call when the project meets your minimum.
Log a change request
Take the page address and the exact change, ask whether the client has a care plan, and create a task for the designer with the details.
Answer hosting questions
Explain what hosting includes, how renewals work and how support is reached, from the policies in the knowledge base, and flag anything account-specific for a person.
Report a site outage
Confirm which website is down and what the caller sees, mark it urgent, and text the on-call developer so work starts before the client's customers notice.
What to send to a person
- Scope changes and quotes beyond the signed proposal
- Design feedback and creative direction
- Domain transfers, DNS changes and login access
- Refund requests or disputes over deliverables
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical web design studio: 70 calls a month answered by the AI, averaging 4 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $19.04 | $3.26 | $22 | $0.32 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $24.64 | $3.26 | $28 | $0.40 |
| Pay per use, speech-to-speech (OpenAI) | $56.00 | $3.26 | $59 | $0.85 |
| AI Employee Unlimited, $97 flat | $97.00 | $3.26 | $100 | $1.43 |

Compared with staff time
Those 70 calls take about 5 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $85, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHi, thanks for calling. I'm the studio's assistant. Are you calling about a new website or a site we already look after?
CALLERA new one. I run a bakery and our site is ancient.
AI AGENTHappy to help. Do you need online ordering, or mostly pages for your menu, story and location?
CALLEROnline ordering would be great for cakes.
AI AGENTGot it. Projects with ordering are scoped on a discovery call. Do you have a rough budget range in mind?
CALLERMaybe five to eight thousand.
AI AGENTThat works for a call. I have Thursday at 11 or Friday at 3 with our lead designer. Which suits you?
CALLERFriday at 3.
AI AGENTDone. You'll get a text confirmation and a short form asking for sites you like, so the designer can come prepared.
Prompt tips
- Tip 1Give the agent your minimum project size and a clear option for smaller budgets, such as a template package, so it does not book calls you will turn down.
- Tip 2Tell it never to quote a final price or timeline; it may share the starting ranges you publish and nothing else.
- Tip 3List every site you host with a plain name for each client, so a caller saying 'the bakery site' is matched to the right task.
Rules to watch
Website accessibility. The Justice Department's 2022 web guidance says the ADA's rules for businesses open to the public cover what they offer on the web, and points to the Web Content Accessibility Guidelines as helpful technical guidance. The AI should not promise that any site is 'ADA compliant'; send accessibility questions to the designer.
Newsletters to past clients. CAN-SPAM makes no exception for business-to-business email, so a studio newsletter needs an accurate subject line, your physical postal address and a working opt-out honored within 10 business days. The FTC lists penalties of up to $53,088 for each email that breaks the law.
