The short answer

GoHighLevel for web designers works as one system for calls, texts, bookings, reviews and follow-up. A single web design studio fits on Unlimited at $297 a month. With our assumed volumes the all-in bill is about $325 a month. An agency running ten web designers on Unlimited pays about $58 per business.

Web design studios sell projects that take weeks, to buyers comparing three quotes who soon forget which studio said what. Inquiries arrive through the contact form, a portfolio site and the phone, often while the designer is deep in a build or on a client review. After launch, steady income depends on care plans and hosting, but clients call only when a page breaks or they want a change, and those small requests eat hours that never get invoiced.

Why web designers miss leads

These are the calls and messages a typical web design studio has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Asking what a new website costs
  • Client wanting a content change on a live site
  • Site down or contact form not sending
  • Hosting or domain renewal question
  • Checking on a project milestone
  • Asking about a redesign or online store

Five workflows to build first

  1. Project inquiry scoringThe inquiry form asks for page count, budget range, deadline and whether content is ready. Answers set a lead score, so higher-fit leads get a booking link for a discovery call and smaller ones get a text about a fixed-price starter package.
  2. Deposit and kickoffAfter the discovery call, the designer sends a proposal and then a deposit invoice with a text-to-pay link. Once it is paid, moving the opportunity to 'In progress' sends the kickoff email and the content checklist.
  3. Content collection remindersProjects stall waiting on copy and photos. From kickoff, a workflow texts the client every four days with a link to the upload form until the 'Content received' tag is added, then tells the designer the build can start.
  4. Care plan offer at launchWhen a project is marked launched, the client gets an email explaining the monthly care plan (updates, backups, small edits) with a payment link. Clients who do not sign up get one reminder 30 days later and no further messages.
  5. Change request loggingA short form or a text to the studio number creates a task with the page, the change and a deadline. Requests beyond the care plan's included hours are tagged, so they can be quoted before any work starts.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

What it costs

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.32 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for web designers.

Rules to watch

Website accessibility. The Justice Department's 2022 web guidance says the ADA's rules for businesses open to the public cover what they offer on the web, and points to the Web Content Accessibility Guidelines as helpful technical guidance. The AI should not promise that any site is 'ADA compliant'; send accessibility questions to the designer.

Newsletters to past clients. CAN-SPAM makes no exception for business-to-business email, so a studio newsletter needs an accurate subject line, your physical postal address and a working opt-out honored within 10 business days. The FTC lists penalties of up to $53,088 for each email that breaks the law.

Software web designers often use

WordPress, Webflow, Figma, Squarespace, Elementor, Google Search Console. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.

Which plan

Web Designers often run several locations or teams, so Unlimited at $297 a month is the safer start: sub-accounts are unlimited and phone and email usage can be passed through at cost. Agencies serving many web designers should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How much does GoHighLevel cost for a web design studio?
About $325 a month on our assumptions: the Unlimited plan at $297, and usage for 70 AI-answered calls, 200 texts and 1,500 emails. Change the numbers in the calculator to match your web design studio.
Why would a web designer use HighLevel instead of WordPress alone?
HighLevel adds what a site builder does not have: a CRM, pipelines, email and text follow-up, booking calendars, invoices and review requests, all tied to the same contact. Some studios keep building in WordPress or Webflow and use HighLevel only for leads and client billing. Its own website and funnel builder can also host simpler client sites.
Which plan suits a web design studio?
If HighLevel only handles your own leads, Starter at $97 a month is enough. If you plan to give each client a sub-account for their site, forms and CRM, Unlimited at $297 removes the three sub-account cap and lets you rebill clients' phone and email usage at cost. Agency Pro at $497 adds SaaS Mode for selling it as your own software.
Can I host client WordPress sites on HighLevel?
Yes, as an add-on. HighLevel's WordPress hosting starts at $10 a month for one site, with a Utility tier at $220 a month for 25 sites and a Truly Unlimited tier at $497 a month. You can fold that cost into a care plan price. Sites built in HighLevel's own builder do not need the WordPress add-on.
Can clients pay deposits and care plans through HighLevel?
Yes. HighLevel includes invoices, estimates and proposals, and text-to-pay links, with payment providers such as Stripe, PayPal and Square. You can send a deposit invoice at signing and invoice care plans monthly, so billing sits next to the project pipeline instead of in a separate tool.
