The short answer

Three ways to track calls
The simplest method is one number per source: a number printed on a van, another on a flyer, another in a directory listing, each forwarding to the same office line. Number pools handle websites, where one page is seen by visitors from many sources, by showing each visitor a number from the pool that matches their source. The Google Business Profile integration covers the listing that drives most calls for local businesses. All three rely on HighLevel phone numbers, so every call passes through LC Phone and gets logged before it reaches the business.
How number pools work
A pool is a group of tracking numbers plus a JavaScript snippet added to the website's body tracking code. When a visitor lands, the snippet checks their source and swaps the visible phone number for one from the pool. You can track all visitors or only paid search visitors, identified by the gclid that Google Ads adds to the landing URL. Pool size depends on call volume, with a minimum of 4 numbers. Attribution relies on the website cookie matched to the tracking number, and call reporting can show the keyword searched before the call.
Numbers can now be moved, removed or reassigned between pools without deleting the whole pool, with an audit log of each change. Make sure the displayed number and the click-to-call link use the same formatting, or the swap can miss one of them. Test the swap by visiting the site from an ad click and from a direct visit, and confirm a different number shows in each case before the campaign starts spending.
Tracking calls from Google Business Profile
Google Business Profile allows two phone numbers per listing. When GBP call tracking is switched on, HighLevel moves the business's own number to the secondary slot and puts a LeadConnector tracking number in the primary slot, setting the old number as the forwarding destination if needed. If the listing already shows a LeadConnector number, nothing changes. HighLevel picks the tracking number in order: the number assigned to that location, then the first number with call forwarding on, then any available LeadConnector number. Missed calls from the listing can also get an automatic text back from that number. Changing a listing's public number is a visible change, so agree it with the client first.
Reports and automations
HighLevel's Call Reporting dashboard shows incoming calls split into answered, missed and busy, first-time callers with average and total durations, top call sources with deals won, and top agents for outbound calls, with a CSV export and filters by number. The help article, last updated in June 2024, lists it under the Agency Pro plan, so check your plan before promising it to a client. On any plan, the Call Details workflow trigger can react to a call and to custom dispositions, up to 10 per sub-account, which staff pick after a call, for example tagging a caller as qualified or creating a follow-up task.
Costs and common mistakes
HighLevel bills each pool number at the same rate as any number, so the smallest pool costs $4.60 a month in local rentals before minutes. Calls forwarded to a US number cost $0.02 a minute inbound, and recording adds $0.0025 a minute. The biggest setup mistake is using a HighLevel or Twilio number as the forwarding destination: HighLevel warns this creates a call loop. Pool calls also only go to the forwarding number, not to the web or mobile app, so the business needs a real line to receive them. Size the pool to traffic, because with too few numbers two visitors from different sources can see the same one and the attribution blurs.
