What you need to connect
The person connecting must be an admin of the Facebook Page and of the Business Manager it belongs to, and must approve every permission requested, especially access to leads and page data. An Instagram Business account linked to the Page is included. Only the user who connected Facebook can choose which Pages to link, and they need full access to each one. In Meta's business settings, LeadConnector must be assigned as a CRM under Leads Access, or leads will not arrive. Several Pages can be connected to one sub-account, though loading can be slow for accounts with many Pages.
Mapping form fields
Each lead form's questions must be mapped to HighLevel contact fields in the Facebook form fields mapping settings, where a blue checkmark confirms a form is mapped. Name, email and phone go to standard fields; custom questions such as budget, service wanted or preferred time should map to custom fields you create first. Without proper mapping, lead data may not sync into the right fields, which breaks personalized messages and any workflow filter that depends on those answers. Map every new form before its campaign starts spending, not after the first leads come in.
Starting follow-up with the workflow trigger
The Facebook Lead Form Submitted trigger starts a workflow as soon as a lead arrives. Filter it by Page and by form, because without filters it fires for every form on every connected Page. From there, typical actions include creating an opportunity in a pipeline, assigning the lead to a team member, sending a confirmation email and text, and alerting staff. Speed matters with lead ads: people fill in the form without leaving Facebook or Instagram and may not recall the business an hour later, so a text within minutes is the usual first step.
Sending lead quality back to Meta
HighLevel can report what happens to each lead after the form. A Pipeline Stage Changed trigger runs the Facebook Conversion API action, which sends the lead's stage to Meta so ads can optimize for leads that turn into sales rather than for form fills alone. The Meta lead ID must be mapped into the CRM. When leads stop arriving
Start with permissions. Check that the connecting user is still an admin of the Page, that LeadConnector is assigned under Leads Access in Meta's business settings, and that the right form is selected in the mapping settings. Meta's Lead Ads Testing Tool on developers.facebook.com submits a test lead so you can watch it arrive in the sub-account. Expired tokens also break the connection and need a reconnect.
