The short answer
GoHighLevel for event planners works as one system for calls, texts, bookings, reviews and follow-up. A single event planning business fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $141 a month. An agency running ten event planners on Unlimited pays about $74 per business.
Event planners sell their time, and the phone eats it. Prospective clients call to ask about availability, packages and whether the planner handles corporate retreats or only weddings, while current clients call with changes that need writing down. Much of the week is spent on site or in vendor meetings where answering is not possible. A lead left waiting a day for a callback often hires whoever replied first, and details from calls get lost between notebooks, texts and email threads.
Why event planners miss leads
These are the calls and messages a typical event planning business has to catch. Each one is a job, a booking or a sale if someone answers quickly:
- Availability for an event date
- Full planning versus day-of coordination
- Package pricing and planning fees
- Corporate events and retreats
- Changes from current clients
- Vendor inquiries and partnership pitches
Five workflows to build first
- Discovery call bookingNew inquiries get a questionnaire about event type, date, guest count and budget, then book a discovery call on the planner's calendar. The answers are on the contact record before the call starts.
- Proposal and retainerAfter the discovery call, a proposal goes out through Documents & Contracts with the planning fee and payment schedule. Signing routes the client to pay the retainer, and unsigned proposals get a check-in after four days.
- Client planning portalSigned clients get access to a Memberships area with planning checklists, timeline templates and vendor guides, so common questions are answered before the client picks up the phone.
- Vendor request listsVendors sit in the CRM with tags such as florist, DJ or rentals, so the planner can send one date request to every preferred florist at once and track who replied in the shared inbox.
- Post-event testimonialAfter the event, clients get a thank-you, a short survey and a review link. Survey answers help refine packages, and testimonials go on the website only with the client's written permission.
HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist
Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.40 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for event planners.
Rules to watch
Recording notice on calls. Some states require consent from everyone on a call before it is recorded; California's Penal Code section 632, for example, requires consent of all parties to a confidential communication. Planners take calls from clients in many states, so have the AI say at the start that the call may be recorded.
Marketing texts to past clients. Past clients and vendors on your list still need to have agreed before you send promotional texts, since the FCC says commercial texts need written consent. Keep event logistics texts apart from promotions, and honor any stop reply right away.
General information, not legal advice. Check the rules for your state with a qualified professional.
Software event planners often use
HoneyBook, Aisle Planner, Planning Pod, Dubsado, Trello, Canva. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.
Which plan
One event planning business fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many event planners should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.
