The short answer
GoHighLevel for gyms works as one system for calls, texts, bookings, reviews and follow-up. A single gym fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $168 a month. An agency running ten gyms on Unlimited pays about $100 per business.
A gym's phone brings in prospects asking about membership prices, class schedules and whether they can try it first, plus members asking to freeze, cancel or fix a billing problem. Front desk staff are checking people in, selling and cleaning at the same time, and evening calls, when many people shop for a gym after work, often ring out. Gyms also lose members slowly: people stop showing up weeks before they cancel, and nobody notices unless attendance is tracked and followed up.
Why gyms miss leads
These are the calls and messages a typical gym has to catch. Each one is a job, a booking or a sale if someone answers quickly:
- Membership prices and contract terms
- Class schedule questions
- Booking a free trial or tour
- Personal training inquiries
- Freezing or canceling a membership
- Billing problems or a failed payment
Five workflows to build first
- Trial pass follow-upPeople who claim a trial pass get a text to book their first visit, a reminder the day before, and a follow-up afterward offering a membership consultation with a staff member.
- New member onboardingNew members get a welcome sequence over the first 30 days, with class suggestions, an orientation booking link and a check-in text from a coach in week two.
- Attendance drop alertsWhen a member's check-ins stop for two weeks, based on a field your staff or check-in system updates, a friendly text goes out and a coach gets a task to reach out.
- Failed payment recoveryA failed membership payment triggers a text with a secure link to update the card and a second reminder three days later, before anyone from staff calls.
- Cancellation handlingCancel requests by form, text or phone create a task and a confirmation text, and staff process them promptly, with at most one offer to freeze instead.
HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist
Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.16 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for gyms.
Rules to watch
Easy cancellation. The FTC sued LA Fitness in August 2025, alleging it required members to cancel in person or by mail and trained staff to refuse phone and email requests. Under ROSCA, recurring charges sold online need clear terms, informed consent and a simple way to stop them. Let the AI accept cancellation requests and pass them to staff.
Consent for trial and promo texts. FCC rules require consent for autodialed texts to cell phones and prior express written consent for promotional texts. Collect consent on trial pass and membership forms, and honor stop replies across every list.

Software gyms often use
Glofox, Mindbody, Wodify, PushPress, Zen Planner, ClubReady. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.
Which plan
One gym fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many gyms should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.
