The short answer
An AI receptionist for gyms built on HighLevel Voice AI costs about $0.16 per answered call, or $48 a month for 300 calls averaging 2 minutes, phone line included. Roughly 120 of those calls (40%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book trial visits
Explains membership options and prices, then books a tour or trial class and texts the waiver and what to bring.
Answer class questions
Gives class times, levels, coaches and whether booking ahead is required, from the current schedule stored in its knowledge base.
Take freeze and cancel requests
Records the request, confirms it will be processed, mentions the freeze option once, and creates a task for the manager.
Book personal training consults
Asks about the caller's goals and availability, then books an intro session with a trainer and texts the confirmation with the trainer's name.
What to send to a person
- Injury questions or medical clearance
- Billing disputes and refunds
- Contract terms or exceptions to policy
- Complaints about staff or other members
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical gym: 300 calls a month answered by the AI, averaging 2 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $40.80 | $6.99 | $48 | $0.16 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $52.80 | $6.99 | $60 | $0.20 |
| Pay per use, speech-to-speech (OpenAI) | $120.00 | $6.99 | $127 | $0.42 |
| AI Employee Unlimited, $97 flat | $97.00 | $6.99 | $104 | $0.35 |

Compared with staff time
Those 300 calls take about 10 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $183, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling Iron Valley Fitness. I'm the gym's virtual assistant. Are you a member or thinking about joining?
CALLERThinking about joining. How much is a membership?
AI AGENTMemberships start at 39 dollars a month with no annual contract, and there's a one-week free trial so you can try the gym and classes first. Would you like to start the trial?
CALLERSure. Can I come tomorrow evening?
AI AGENTYes. I can book a quick tour tomorrow at 6 with Kayla, and you can work out right after. Does that work?
CALLERThat's good.
AI AGENTYou're booked for 6 tomorrow. I'm texting you the waiver to sign ahead of time and a reminder to bring photo ID and water.
CALLERGreat, thanks.
Prompt tips
- Tip 1Put membership prices, contract terms and fees in the prompt exactly as your agreement states them, so the AI never promises a price you will not honor.
- Tip 2Write your cancellation process so the AI takes the request on the call and mentions the freeze option only once.
- Tip 3Tell the AI to hand injury, medical clearance and pregnancy questions to a coach or manager instead of giving exercise advice.
Rules to watch
Easy cancellation. The FTC sued LA Fitness in August 2025, alleging it required members to cancel in person or by mail and trained staff to refuse phone and email requests. Under ROSCA, recurring charges sold online need clear terms, informed consent and a simple way to stop them. Let the AI accept cancellation requests and pass them to staff.
Consent for trial and promo texts. FCC rules require consent for autodialed texts to cell phones and prior express written consent for promotional texts. Collect consent on trial pass and membership forms, and honor stop replies across every list.
