The short answer
GoHighLevel for hearing aid centers works as one system for calls, texts, bookings, reviews and follow-up. A single hearing aid center fits on Starter at $97 a month, plus the $297 HIPAA add-on. With our assumed volumes the all-in bill is about $459 a month. An agency running ten hearing aid centers on Unlimited pays about $95 per business before HIPAA, or $125 with it.
Hearing aid centers serve many older clients who still prefer the phone, and their calls run longer: booking a hearing test, asking what devices cost, checking whether insurance or benefits help, and reporting an aid that has stopped working. Some callers struggle to hear on the phone at all, which makes a rushed voicemail greeting a poor first impression. HighLevel supports reminders by text, email or call, trial period follow-up, clean and check reminders, and physician referral tracking. A Voice AI agent with a slow, clear voice can book tests and repairs, while fittings and device advice stay with the audiologist or hearing aid specialist.
Why hearing aid centers miss leads
These are the calls and messages a typical hearing aid center has to catch. Each one is a job, a booking or a sale if someone answers quickly:
- Book a hearing test
- Price of hearing aids
- Does my insurance or benefit plan help
- Hearing aid stopped working
- Batteries, domes and supplies
- Over-the-counter versus prescription aids
- Adjustment after a fitting
Five workflows to build first
- Trial period follow-upAfter a fitting, schedule check-in texts and a follow-up visit inside the center's trial period, and create a task whenever a client reports a problem, so issues are handled before the trial window closes.
- Annual hearing test recallRemind clients when their annual test is due by text or email, and create a staff call task for clients whose preferred channel is the phone.
- Clean and check remindersEvery few months, send a reminder to book a clean and check, with a booking link and the center's walk-in hours for quick fixes.
- Physician referral trackingTrack referring physicians and ENT offices as contacts, tag each new client with the referral source, and create a task to send the referring office the report the audiologist approves.
- Missed call text back with callback optionSome callers cannot hear well on the phone, so the missed-call text offers a callback at a time they choose as well as online booking.
HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist
Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.28 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for hearing aid centers.
Rules to watch
Over-the-counter hearing aids. Under FDA rules in effect since October 17, 2022, over-the-counter hearing aids are for adults 18 and older with perceived mild to moderate hearing loss and need no exam or prescription. Callers ask about them. Let the AI state those facts and leave advice on which option suits someone to the specialist.
HIPAA for hearing practices. Audiology and hearing aid practices that bill insurance electronically are HIPAA covered entities. If test results or device details go into HighLevel, plan for its $297 a month HIPAA package with a business associate agreement, and keep audiograms in the clinical software.
AI calls to clients. The FCC ruled in 2024 that AI-generated voices are artificial under the TCPA, so outbound AI reminder calls need the consent those rules require. Record consent on each contact, and always give clients an easy way to reach a person.

Which plan
One hearing aid center fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many hearing aid centers should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.
