The short answer
GoHighLevel for optometrists works as one system for calls, texts, bookings, reviews and follow-up. A single optometry practice fits on Starter at $97 a month, plus the $297 HIPAA add-on. With our assumed volumes the all-in bill is about $462 a month. An agency running ten optometrists on Unlimited pays about $98 per business before HIPAA, or $128 with it.
Optometry practices field a steady mix of exam bookings, glasses and contact lens order checks, and vision plan questions, and some calls are not from patients at all: online contact lens sellers phone to verify prescriptions, and those requests come with a federal response deadline. Short calls add up, and the optician answering them is also fitting frames. HighLevel helps with annual exam recall, order-ready texts, contact lens reorder reminders and review requests. A Voice AI agent can book exams, answer vision plan questions from the practice's list, and pass verification requests to staff quickly enough to meet the FTC's clock.
Why optometrists miss leads
These are the calls and messages a typical optometry practice has to catch. Each one is a job, a booking or a sale if someone answers quickly:
- Book an annual eye exam
- Are my glasses or contacts ready
- Which vision plans do you accept
- Reorder contact lenses
- Red or irritated eye today
- Contact lens seller verifying a prescription
- Copy of my prescription
Five workflows to build first
- Annual exam recallText patients 11 months after their last exam with a booking link, then email a reminder two weeks later. If the calendar allows back-to-back slots, families can book several members in one visit.
- Order ready notificationWhen staff mark an order ready, the workflow texts the patient pickup hours and the location. A second text after five days catches patients who forgot to come in.
- Contact lens reorder reminderUsing the supply length recorded on the contact, send a reorder reminder before the patient runs out, with a link to order through the practice rather than an online seller.
- Missed call text backCalls missed while staff are in pretesting get a text offering exam booking or an order status check by reply. Replies land in the shared inbox for whoever is free.
- Prescription release confirmationAfter each exam, release the prescription through the practice's usual channel and collect the patient's signed confirmation through a form stored on the contact, which a practice that sells eyewear needs to keep.
HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist
Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.16 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for optometrists.
Rules to watch
Contact Lens Rule verification clock. Under the FTC's Contact Lens Rule, a prescriber has eight business hours to respond to a seller's verification request, which can arrive by phone, including automated calls, fax or email. If nobody responds, the prescription is treated as verified. Route these calls to staff immediately.
Eyeglass Rule prescription release. The FTC's Eyeglass Rule requires prescribers to give patients their eyeglass prescription right after a refractive exam, without being asked, and bars charging extra for it or requiring an eyewear purchase. Practices that sell eyewear must get written confirmation of release. The AI must never suggest otherwise.
HIPAA. Optometry practices that bill insurance electronically are HIPAA covered entities. HighLevel's HIPAA package costs $297 a month and includes a business associate agreement; have a compliance adviser review the setup before patient data goes into HighLevel.

Which plan
One optometry practice fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many optometrists should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.
