The short answer
GoHighLevel for urgent care clinics works as one system for calls, texts, bookings, reviews and follow-up. A single urgent care clinic fits on Unlimited at $297 a month, plus the $297 HIPAA add-on. With our assumed volumes the all-in bill is about $711 a month. An agency running ten urgent care clinics on Unlimited pays about $147 per business before HIPAA, or $176 with it.
Urgent care phones ring with the same handful of questions all day: the current wait, whether the clinic treats a particular problem, what a self-pay visit costs, and whether an insurance plan is accepted. The staff answering are also registering walk-ins, so calls go unanswered at peak hours and patients arrive at the wrong location or not at all. HighLevel can offer timed arrival slots online, text patients when staff are ready for them, request reviews after discharge and run a separate number per location. A Voice AI agent can answer the logistics questions and book slots, and it tells any caller describing an emergency to call 911.
Why urgent care clinics miss leads
These are the calls and messages a typical urgent care clinic has to catch. Each one is a job, a booking or a sale if someone answers quickly:
- What is the wait right now
- Do you treat this problem
- Self-pay visit price
- Do you take my insurance
- Hours and nearest location
- Flu, strep or COVID testing
- Work physicals and drug screens
Five workflows to build first
- Save my spot bookingEach location's website offers arrival slots through a HighLevel calendar. Patients get a confirmation text with the address and what to bring, and a reminder 30 minutes before, which spreads walk-in peaks across the day.
- Ready-for-you textsWhen staff mark a patient as next, a workflow texts them to come in from the car or lobby, which keeps the waiting room calmer during flu season surges.
- Discharge review requestA few hours after discharge, send every patient a review request linked to the Google profile of the location they visited. Google bars selective solicitation, so do not filter by satisfaction first.
- Employer services pipelineTrack employer accounts for physicals and drug screens in a pipeline, with automated follow-up on quotes and reminders to renew agreements each year.
- Missed call text back per locationEach location has its own number, and missed calls get a text with that location's hours, a link to reserve a slot and the self-pay price list.
HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

Adding an AI receptionist
Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.16 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for urgent care clinics.
Rules to watch
Emergencies go to 911. The AI must not decide whether symptoms can wait. Have the medical director write the list of situations that end the call with an instruction to call 911, test it before launch, and review transcripts weekly for calls that should have taken this path.
Good faith estimates. Under the No Surprises Act, uninsured and self-pay patients can usually get a good faith estimate on request, and may dispute a bill that comes in at least $400 above it. Publish self-pay prices and have the AI tell callers they can ask for an estimate.
HIPAA across locations. Urgent care clinics that bill insurance electronically are HIPAA covered entities. HighLevel's $297 a month HIPAA package applies to every sub-account in the account once enabled, so a multi-location group pays it once, but HIPAA must be switched on in each sub-account.

Experity, Solv, Clockwise.MD, athenahealth, eClinicalWorks. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.
Which plan
Urgent Care Clinics often run several locations or teams, so Unlimited at $297 a month is the safer start: sub-accounts are unlimited and phone and email usage can be passed through at cost. Agencies serving many urgent care clinics should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.
