The short answer

Use HighLevel's built-in HubSpot Importer for the CRM data, then rebuild the rest. The importer connects to your HubSpot account and brings over contacts, companies, deals (as opportunities), pipelines and stages, custom properties, notes, tasks and emails. Workflows, email templates, landing pages and forms are not covered and are rebuilt using HighLevel's HubSpot migration guide.

Run the HubSpot Importer

In the HighLevel sub-account, open Contacts (or Companies or Opportunities), open the Import menu at the top right and choose Import data. Click Connect HubSpot, sign in to HubSpot and approve access. The wizard asks which objects to bring over: contacts, tasks, deals and companies. Choosing deals selects contacts automatically, because every opportunity needs a contact. The next screen shows how many records of each type were found, and the pencil icon lets you narrow the contact and deal properties. Click Confirm and start import. The job runs in the background, so you can close the tab and check Import history later.

Before the first run, HighLevel recommends importing into a clean or test sub-account, switching on Allow duplicates for contacts and opportunities (turn de-duplication back on afterward), and keeping the account language set to English. According to the article, leaving duplicate blocking on is the most common source of avoidable errors in a HubSpot import. The wizard's own tips add two jobs on the HubSpot side: merge duplicates there and take a backup before you start.

Limits to check before you rely on the import

Custom fields are mapped by internal key, so a HighLevel field that already uses the same key makes that field fail; rename or delete it first. HubSpot calculated fields arrive as single line text. An opportunity with no contact cannot be imported, and one opportunity can carry up to 10 additional contacts. Recurring tasks are not supported, notes cannot be linked to companies, and imported emails are read only. If you delete an imported contact and run the importer again, that contact comes back. After each run, click the stats icon on the import row, switch to Record view, filter by Error and download the error CSV to fix records in HubSpot before re-running.

Rebuild workflows, emails and pages by hand

List each active HubSpot workflow with its triggers, delays and actions, then recreate it under Automation, Workflows and test it before turning it on. Save HTML copies of HubSpot email templates and rebuild or import them in the HighLevel email builder. Download landing page HTML as a reference, rebuild the pages in HighLevel's site builder and connect every form and button to the new workflows. If you called or texted through Twilio from HubSpot, connect that Twilio account to HighLevel. The guide also suggests running both systems in parallel for a while before canceling HubSpot.
