The short answer
An AI receptionist for accountants built on HighLevel Voice AI costs about $0.24 per answered call, or $48 a month for 200 calls averaging 3 minutes, phone line included. Roughly 40 of those calls (20%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Schedule appointments
Books tax prep, review or consultation slots on the right accountant's calendar, asks whether the client is new or returning, and texts the checklist that fits the appointment type.
Answer document questions
Tells callers which forms to bring for common situations, such as W-2s, 1099s, mortgage interest and childcare costs, from a list the firm writes, and says staff will confirm anything unusual.
Log IRS notices
Takes the notice number printed on the letter, the tax year and the date on it, creates a priority task, and texts the client a secure link to send a copy.
Qualify business service leads
Asks the entity type, number of employees, monthly transaction volume and current software, then books a discovery call and adds the details to the opportunity.
What to send to a person
- Any tax advice or position on a return
- Refund amounts or what a client owes
- Responding to an IRS notice or audit
- Fee disputes
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical accounting firm: 200 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $40.80 | $6.99 | $48 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $52.80 | $6.99 | $60 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $120.00 | $6.99 | $127 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $6.99 | $104 | $0.52 |

Compared with staff time
Those 200 calls take about 10 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $183, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling Morrow and Chen CPAs. I'm the firm's virtual assistant. Are you a current client or new to the firm?
CALLERCurrent client. I got a letter from the IRS saying I owe more for 2024.
AI AGENTI can get that to your accountant right away. What's the notice number at the top right of the letter, and what date is printed on it?
CALLERIt says CP2000, dated May 12.
AI AGENTThank you. I've created a priority request for Linda, and I'm texting you a secure link so she can see the full letter.
CALLEROkay. Will I really owe that much?
AI AGENTI can't speak to the amount, but Linda will go through it with you. She'll call within two business days, and you'll get a text once she's reviewed the letter.
CALLERThanks.
Prompt tips
- Tip 1Keep two knowledge bases, one for tax season with deadlines and appointment types and one for the rest of the year, and switch them on a set date.
- Tip 2Tell the AI never to estimate refunds, balances or penalties, and to answer every 'will I owe' question by booking time with the accountant.
- Tip 3List each notice type the firm handles and who owns it, so a payroll notice goes to payroll staff instead of the individual tax team.
Rules to watch
Section 7216 and cross-selling. Federal law restricts how tax preparers use or disclose tax return information. The IRS says preparers may compile lists to solicit more tax preparation work without consent, but using return information to market other services, such as bookkeeping or financial products, needs the client's written consent first. Build your email segments with that in mind.
Security for client data. The FTC Safeguards Rule covers tax preparation firms and calls for a written information security program, multi-factor login and encryption of customer information, and the IRS reminds tax professionals that a security plan is required. Keep Social Security numbers and return data out of AI calls, texts and email bodies.
