The short answer
An AI receptionist for bakeries built on HighLevel Voice AI costs about $0.16 per answered call, or $48 a month for 300 calls averaging 2 minutes, phone line included. Roughly 90 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Take custom cake details
Collects date, servings, flavors, design idea and any allergy, checks the date against order capacity, and texts a link to the order form and deposit payment.
Answer availability questions
Gives hours, the daily bake schedule and which items usually sell out early, and offers to hold items for pickup where the bakery allows it.
Take holiday pre-orders
Records pre-orders for pies or breads with a pickup slot, confirms the cutoff date, and texts a payment link.
Confirm pickups
Tells callers their order status and pickup window, and moves the pickup time when the bakery's hours allow it.
What to send to a person
- Wedding cake consultations and tastings
- Severe allergy or celiac questions about shared equipment
- Design changes close to the pickup date
- Complaints about a finished cake
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical bakery: 300 calls a month answered by the AI, averaging 2 minutes. Phone minutes are billed per call and rounded up, so each call bills 2 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $40.80 | $6.99 | $48 | $0.16 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $52.80 | $6.99 | $60 | $0.20 |
| Pay per use, speech-to-speech (OpenAI) | $120.00 | $6.99 | $127 | $0.42 |
| AI Employee Unlimited, $97 flat | $97.00 | $6.99 | $104 | $0.35 |

Compared with staff time
Those 300 calls take about 10 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $183, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

Prompt tips
- Tip 1Put serving counts for each cake size in the knowledge base so the agent can match a guest count to the right cake.
- Tip 2Give the agent the lead time rules, such as 72 hours for custom cakes and two weeks for tiered cakes, plus the daily order cap.
- Tip 3Tell the agent never to guarantee an item is free of nuts or gluten and to offer a staff callback instead.
Rules to watch
Allergens in a shared kitchen. Wheat, milk, eggs, tree nuts, peanuts, soybeans and sesame are all on the FDA's list of major food allergens, and all are common in bakeries. Sesame joined the list on January 1, 2023. The AI should never promise an item is nut-free or gluten-free; staff should answer that.
Fair review requests. When asking for reviews after a cake pickup, remember that FTC guidance bars tying an incentive to a positive review. Send the same request to every customer and never offer a discount only in exchange for a five-star rating.
