The short answer

GoHighLevel for bakeries works as one system for calls, texts, bookings, reviews and follow-up. A single bakery fits on Starter at $97 a month. With our assumed volumes the all-in bill is about $155 a month. An agency running ten bakeries on Unlimited pays about $87 per business.

Bakeries field two kinds of calls: quick ones about hours and whether the sourdough has sold out, and long ones about custom cakes that need a flavor, size, design, date and deposit. Both arrive while there is a line at the counter and a tray in the oven. Custom orders are where the margin is, but they fall apart when details live on sticky notes. Birthday cake customers also come back on a yearly calendar, and few bakeries remind them before the next birthday.

Why bakeries miss leads

These are the calls and messages a typical bakery has to catch. Each one is a job, a booking or a sale if someone answers quickly:

  • Custom birthday or wedding cake orders
  • Whether an item is available today
  • Hours and holiday pre-orders
  • Allergy and gluten-free options
  • Order pickup times
  • Wholesale orders for cafes

Five workflows to build first

  1. Custom cake order intakeA custom order form collects the date, servings, flavor, filling and design notes, then sends a quote and a deposit link. The order moves through stages from inquiry to deposit paid to ready for pickup.
  2. Holiday pre-ordersWeeks before Thanksgiving and other holidays, a pre-order campaign goes to opted-in customers with a firm cutoff date. Orders come in through an order form, and pickup reminders go out the day before.
  3. Pickup remindersCustom orders get a text the day before with the pickup window, the balance due and a text-to-pay link, so fewer cakes are left unclaimed at closing time.
  4. Next birthday reminderThe cake date saved on each custom order triggers a text about ten months later asking whether the customer wants to order for the next birthday. It brings back repeat orders without anyone tracking dates by hand.
  5. Wholesale account follow-upCafes and restaurants buying bread or pastries wholesale sit in their own pipeline, get standing order confirmations by email, and receive a check-in when their weekly order drops.

HighLevel's workflow builder runs all of these, and missed call text back is usually the quickest win.

What it costs

Adding an AI receptionist

Voice AI can answer the calls above around the clock, book them into the calendar and pass the hard ones to a person. On our assumptions it costs about $0.16 per answered call, phone line included. What the AI should handle, what it should hand to staff and a sample call are in our guide to an AI receptionist for bakeries.

Rules to watch

Allergens in a shared kitchen. Wheat, milk, eggs, tree nuts, peanuts, soybeans and sesame are all on the FDA's list of major food allergens, and all are common in bakeries. Sesame joined the list on January 1, 2023. The AI should never promise an item is nut-free or gluten-free; staff should answer that.

Fair review requests. When asking for reviews after a cake pickup, remember that FTC guidance bars tying an incentive to a positive review. Send the same request to every customer and never offer a discount only in exchange for a five-star rating.

General information, not legal advice. Check the rules for your state with a qualified professional.

Software bakeries often use

Square, Shopify, Toast, BakeSmart, QuickBooks. Check the HighLevel marketplace or ask HighLevel before assuming any of these connect directly.

Which plan

One bakery fits on Starter at $97 a month, which includes 3 sub-accounts. Move to Unlimited at $297 if you run more than three locations or brands. Agencies serving many bakeries should compare Unlimited with Agency Pro and SaaS Mode, which lets you resell and mark up usage.

Questions

How much does GoHighLevel cost for a bakery?
About $155 a month on our assumptions: the Starter plan at $97, and usage for 300 AI-answered calls, 500 texts and 2,000 emails. Change the numbers in the calculator to match your bakery.
Can GoHighLevel take custom cake orders with deposits?
Yes. A form collects the cake details, and an order form or invoice takes the deposit through Stripe, Square or another supported provider. A workflow then moves the order through pipeline stages and reminds the customer about the balance before pickup, so nothing depends on a paper order book.
Should a bakery use HighLevel instead of Square?
Most bakeries would keep Square or another POS at the counter. HighLevel adds custom order pipelines, automated reminders, text campaigns and review requests in one place. The customers worth tracking in HighLevel are the ones who order custom cakes, holiday pre-orders and wholesale.
How can a bakery use HighLevel for holiday rushes?
Open pre-orders early with an email and text campaign to opted-in customers. A class booking calendar with a seat limit per slot can cap pickups per hour, and reminders go out the day before. A cutoff date in the knowledge base also lets the AI receptionist answer the same question on every call.
Which HighLevel plan suits a bakery?
Starter at $97 a month covers a bakery with one or two storefronts. Unlimited contacts matter for bakeries that build a large holiday list, and texts and emails are billed per message from the wallet, so a big pre-order campaign adds usage costs rather than requiring a plan upgrade.
