The short answer
An AI receptionist for CrossFit gyms built on HighLevel Voice AI costs about $0.20 per answered call, or $18 a month for 90 calls averaging 2.5 minutes, phone line included. Roughly 27 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book a free intro
Asks about the caller's training background and goals, books an intro with an available coach, and texts the time along with what to wear.
Reassure beginners
Explains that workouts are scaled to each athlete, how the onramp course works, and that the first step is a conversation with a coach, not a workout.
Handle drop-in questions
Gives drop-in class times and the fee, texts the drop-in form and waiver link, and tells visitors when open gym runs.
Quote membership options
Reads membership tiers, class limits and the onramp price from the knowledge base, and books an intro for anyone ready to start.
What to send to a person
- Membership cancellations and holds
- Callers with injuries asking what they can do
- Coaching job applications
- Disputes about billing or agreement terms
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical CrossFit box: 90 calls a month answered by the AI, averaging 2.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $15.30 | $3.15 | $18 | $0.20 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $19.80 | $3.15 | $23 | $0.25 |
| Pay per use, speech-to-speech (OpenAI) | $45.00 | $3.15 | $48 | $0.53 |
| AI Employee Unlimited, $97 flat | $97.00 | $3.15 | $100 | $1.11 |

Compared with staff time
Those 90 calls take about 4 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $69, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling Ironline CrossFit. I'm the gym's AI assistant. Are you a member or thinking about joining?
CALLERThinking about it, but honestly I'm really out of shape. Is that a problem?
AI AGENTNot at all. Every workout is scaled to the person, and new members start with a free intro chat with a coach before any class. Would you like to book one?
CALLERSure. What does it involve?
AI AGENTAbout 30 minutes with a coach talking through your goals and history, plus a tour. No workout. I have Tuesday at 12:30 or Wednesday at 6:30 pm.
CALLERWednesday evening.
AI AGENTYou're booked for Wednesday at 6:30 with Coach Sam. I'm texting you the address and a short form about your goals. See you then.
Prompt tips
- Tip 1Explain scaling in the prompt in plain words, because the most common worry on the phone is not being fit enough to start.
- Tip 2Keep drop-in rules apart from membership sales in the prompt so visiting athletes get times and fees without a sales pitch.
- Tip 3Tell the agent to call the gym an affiliate by its full name and never to speak for CrossFit, LLC or its events.
Rules to watch
Using the CrossFit name. CrossFit is a trademark of CrossFit, LLC, and affiliate gyms use the name under an affiliate agreement that includes branding rights. Have the AI and your ads describe the gym as an affiliate, and never suggest CrossFit, LLC endorses your promotions or your choice of software.
Transformation challenge ads. If you promote a six week challenge with one member's dramatic result, FTC endorsement guidance says you must show what participants generally achieve, not just add 'results not typical'. Keep claims to what your coaching can support.
