The short answer
An AI receptionist for handyman services built on HighLevel Voice AI costs about $0.24 per answered call, or $38 a month for 160 calls averaging 3 minutes, phone line included. Roughly 48 of those calls (30%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Book a job visit
Collect the address, a short description of each task and whether the business should bring materials, then book an arrival window on the owner's calendar and text a confirmation.
Flag licensed trade work
Ask whether the job involves new wiring, gas lines or moving plumbing, and tag those calls for the owner, since that work may need a licensed contractor or a permit in the caller's state.
Request photos by text
Send a text during the call asking for photos of the damage, or of the wall where a TV will hang, so the owner can price the job without an extra site visit.
Answer the stock questions
Use the knowledge base to explain the trip charge, service area, hours and materials policy, and decline to invent a price for a job nobody has seen yet.
What to send to a person
- Pricing anything bigger than a one-visit job
- Jobs that may need a permit or a licensed electrician or plumber
- Complaints about a finished repair
- Active water leaks that need a same-day decision
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical handyman business: 160 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $32.64 | $5.59 | $38 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $42.24 | $5.59 | $48 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $96.00 | $5.59 | $102 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $5.59 | $103 | $0.64 |

Compared with staff time
Those 160 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $146, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTGot it. I can book a two-hour window. Thursday between 9 and 11, or Friday between 1 and 3?
CALLERFriday afternoon works.
AI AGENTYou're booked for Friday, 1 to 3. I'm texting a confirmation now. Could you reply with a photo of the wall and the doors so the tech brings the right hardware?

Prompt tips
- Tip 1List the jobs the business takes and the trade work it refers out, so the AI can decline politely instead of booking a visit the owner will cancel.
- Tip 2Give the agent the trip charge and any fixed prices you are happy to quote by phone, such as TV mounting, and tell it everything else is priced after photos or a visit.
- Tip 3Tell the agent to ask for the whole task list and group small jobs into one booking, because a three-hour visit is worth far more than a single 30 minute fix.
Rules to watch
Lead-safe work in pre-1978 homes. EPA's Renovation, Repair and Painting rule says anyone paid to disturb paint in homes built before 1978 must be certified, sole proprietors included. Disturbing 6 square feet or less per room inside, or 20 square feet or less outside, counts as minor repair if no prohibited practices, window replacement or demolition are involved. Have the AI ask the home's age.
State limits on unlicensed work. States decide when a handyman needs a contractor license. California, for example, raised its minor work exemption to jobs under $1,000 from 2025, and only when no permit is required and no employees work on the job. Tell the AI never to describe the business as licensed unless it truly is.
Honest review requests. The FTC rule on consumer reviews and testimonials, in effect since October 2024, bans buying fake reviews, rewards conditioned on positive sentiment and undisclosed reviews by owners or managers. Ask every paid customer the same way, whatever their experience was.
