Prompt tips
- Tip 1Describe every accessible room type in the knowledge base in concrete terms: shower type, bed height, door width and hearing kits.
- Tip 2Tell the agent to quote nightly rates with mandatory fees included and to say taxes are extra, so every quote follows the fees rule.
- Tip 3Route any change to an existing reservation to the front desk, since the agent cannot see or edit the property management system.
Rules to watch
Accessible room reservations. ADA regulations require places of lodging to let guests reserve accessible rooms by any means, including by telephone, during the same hours and in the same manner as other rooms, and to describe accessible features in enough detail. An AI receptionist is part of that channel, so give it full accessible room details.
Quote total prices. The FTC's fees rule, in effect since May 12, 2025, requires short-term lodging offers to show the total price, including mandatory fees such as resort or amenity fees, more prominently than other pricing. Taxes can come later. Train the AI to include mandatory fees whenever it quotes a rate.
No card numbers by voice. PCI guidance says card security codes must not be stored after authorization. The AI should text the booking engine link so the guest guarantees the room with a card online, rather than reading card details into a recorded, transcribed call.
