The short answer

An AI receptionist for pizzerias built on HighLevel Voice AI costs about $0.09 per answered call, or $160 a month for 1800 calls averaging 2.5 minutes, phone line included. Roughly 270 of those calls (15%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Take a full phone order

Takes size, crust, toppings by half, sides and drinks, reads the order back, confirms pickup or delivery, and sends the ticket to the counter by text or email.

Check the delivery zone

Asks for the address and cross street, checks it against the zip codes and streets listed in the knowledge base, and offers pickup if it falls outside.

Quote specials and wait times

Reads today's specials and the wait time the manager last posted, so callers hear an honest 50 minutes on a Friday instead of a guess.

Handle big orders

For orders of ten pizzas or more, collects the date, time and count, creates an opportunity and has the manager confirm, so big orders never get squeezed into a rush.

What to send to a person

  • Complaints about a wrong or late order
  • Refund and remake requests
  • Celiac or severe allergy questions about shared ovens
  • Driver and delivery problems

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical pizzeria: 1800 calls a month answered by the AI, averaging 2.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.

Compared with staff time

Those 1800 calls take about 75 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $1,370, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling Tony's Brick Oven. I'm the shop's AI assistant. Pickup or delivery tonight?

CALLERDelivery. Two large pizzas, one pepperoni and one half mushroom, half sausage.

AI AGENTGot it. Two large: one pepperoni, and one half mushroom, half sausage. Regular crust on both?

CALLERYes, and add garlic knots.

AI AGENTOne order of garlic knots. What's the delivery address?

CALLER418 Elm Street, apartment 2B.

AI AGENTThat's in our delivery area. Your total is $41.50 before tip, and delivery is running about 50 minutes. You can pay the driver, or I can text you a secure payment link. Which would you like?

CALLERText me the link.

AI AGENTSent. Your order is in, and we'll text you when it leaves the shop.

Prompt tips

  1. Tip 1Structure the menu in the knowledge base by size, crust and topping price so the agent can total half-and-half pizzas correctly.
  2. Tip 2List the delivery zone as zip codes and boundary streets, and tell the agent to offer pickup rather than guess on an edge address.
  3. Tip 3Tell the agent to read the whole order back before giving a total, because a remade pizza costs more than a longer call.

Rules to watch

Payment by link, not by voice. The AI should never collect card numbers. PCI guidance says card security codes must not be stored after authorization, and searchable recordings holding them must not be kept at all. Have the AI text a payment link for prepaid delivery, or collect payment at the door or counter.

Promo text consent. Game day deals and weekly specials sent by text are commercial messages, and the FCC says those need the customer's written consent. Add a checkbox to your online order page, never text numbers pulled from old tickets, and stop immediately when someone replies stop.

Questions

Can an AI receptionist really take pizza orders?
Yes, with a clearly structured menu and a careful prompt. Voice AI can collect every item and modifier into contact fields, read the order back and send it to the counter by text or email through a workflow. Staff still enter the order into the POS, so decide who watches for incoming tickets during a rush.
What does an AI receptionist cost at pizzeria call volume?
At our assumed 1,800 calls a month averaging two and a half minutes, pay per use runs about $270 for the voice engine and a standard voice, plus about $63 in phone minutes since each call bills three minutes. AI Employee Unlimited at $97 a month plus those phone minutes would cost far less, subject to HighLevel's fair use terms.
Can the AI handle Friday night call spikes?
It answers each call as it comes in, so a rush does not produce a busy signal the way one person on one line does. We could not find a published limit on simultaneous inbound Voice AI calls, so test with several phones calling at once before a big game night.
What if a caller wants to talk to a person?
The AI can transfer the call to the shop phone during open hours. Set the prompt to transfer right away for complaints, remakes and anyone who asks twice for a person. After closing, working-hours rules can switch the AI to taking messages and texting the ordering link for tomorrow.
