The short answer
An AI receptionist for landscapers built on HighLevel Voice AI costs about $0.24 per answered call, or $36 a month for 150 calls averaging 3 minutes, phone line included. Roughly 30 of those calls (20%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Quote-ready intake
Collects the property address, rough lot size, the services wanted and how often, then books an estimate visit or tells the caller the office will send a written quote.
Answer schedule questions
Tells existing customers their usual service day and whether a weather delay is in effect, using details you keep updated in the knowledge base.
Book irrigation service
Asks whether it's a spring startup, a winterization or a broken head, notes where the controller is, and books the irrigation technician's calendar.
Take snow contract inquiries
In fall, collects driveway size, walkways and preferred trigger depth, then books a sign-up call before the season fills.
What to send to a person
- Complaints about lawn damage, missed services or a crew's conduct
- Design pricing and change orders on installs
- Commercial property and HOA bids
- Questions about what was sprayed on the property
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical landscaping company: 150 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $30.60 | $5.24 | $36 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $39.60 | $5.24 | $45 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $90.00 | $5.24 | $95 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $5.24 | $102 | $0.68 |

Compared with staff time
Those 150 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $137, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHi, thanks for calling. I'm the virtual assistant for the landscaping crew. Are you a current customer, or looking for a quote?
CALLERLooking for a quote. I just bought a house and the yard's a mess.
AI AGENTCongratulations on the new place. What would you like help with: a one-time cleanup, weekly mowing, or both?
CALLERBoth, and maybe some new beds out front later.
AI AGENTGot it. Roughly how big is the lot, and is there a sprinkler system?
CALLERAbout a quarter acre. There are sprinklers, but I don't know if they work.
AI AGENTI can have an estimator walk the property and check the sprinklers on the same visit. Would Tuesday at 4 or Thursday at 9 work?
CALLERThursday.
AI AGENTYou're set for Thursday at 9. I'll text a confirmation and a short form about the front beds so the estimator can bring ideas.
Prompt tips
- Tip 1Update the knowledge base each season with what you're booking now, such as cleanups in April or blowouts in October, so the agent offers the right service first.
- Tip 2Give the agent your minimum job size and service radius so it can politely decline tiny or far-off jobs instead of booking visits your crews can't take.
- Tip 3Tell it which questions belong to the certified applicator, like when a treated lawn is safe for pets, and have it take a message rather than answer.
Rules to watch
Pesticide and fertilizer applications. Federal law requires certification to apply or supervise the use of restricted use pesticides, and EPA notes that many states require certification for any commercial pesticide application. The AI should not recommend products or answer questions about what was sprayed; it should take a message for your certified applicator.
Service texts versus promotions. Keep consent for route updates and consent for promotions in separate fields on each contact, and send upsell texts only to customers who agreed to marketing. The FCC's 2024 ruling puts AI-generated voices under the TCPA's artificial voice rules, so automated promotional calls need prior express written consent.
