The short answer
An AI receptionist for movers built on HighLevel Voice AI costs about $0.40 per answered call, or $100 a month for 250 calls averaging 5 minutes, phone line included. Roughly 63 of those calls (25%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Collect move details
Asks for the origin and destination, home size, floors and elevators, the move date and how flexible it is, and any special items such as pianos.
Check date availability
Checks the crew calendars for the requested date, offers alternates if it is full, and explains that the date is held only once the deposit is paid.
Book surveys
Offers video or in-home survey times, books the estimator and texts the inventory form so the survey goes faster.
Answer policy questions
Explains your deposit, cancellation and do-not-ship policies from the knowledge base, and passes anything unusual to the office.
What to send to a person
- Binding prices and final estimates
- Damage and claims questions
- Interstate paperwork and valuation coverage
- Date changes within a week of the move
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical moving company: 250 calls a month answered by the AI, averaging 5 minutes. Phone minutes are billed per call and rounded up, so each call bills 5 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $85.00 | $14.56 | $100 | $0.40 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $110.00 | $14.56 | $125 | $0.50 |
| Pay per use, speech-to-speech (OpenAI) | $250.00 | $14.56 | $265 | $1.06 |
| AI Employee Unlimited, $97 flat | $97.00 | $14.56 | $112 | $0.45 |

Compared with staff time
Those 250 calls take about 21 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $381, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTThanks for calling. You're speaking with the moving company's AI assistant. Are you planning a move, or calling about one that's booked?
CALLERPlanning one. A two-bedroom apartment to a house across town, on the 30th.
AI AGENTI can check that. Is the apartment on the ground floor, or are there stairs or an elevator?
CALLERThird floor. There is an elevator.
AI AGENTThanks. The 30th is filling up, but a morning crew is still open. For an accurate price we start with a quick video survey of your belongings. I have today at 6 p.m. or tomorrow at noon.
CALLERTomorrow at noon.
AI AGENTBooked. I'll text you the video survey link and an inventory form. Once the estimator reviews it, you'll get a written estimate and a link to hold the date with a deposit.
Prompt tips
- Tip 1Tell the agent never to promise a price or confirm a date without a deposit, and give it your exact wording for 'the date is held once the deposit is paid.'
- Tip 2List the items you will not move, such as hazardous materials, so the agent answers the same way every time.
- Tip 3Give the agent your peak-date rules, such as minimum hours on month-end weekends, so callers hear them before they book.
Rules to watch
Interstate move rules. FMCSA says interstate household goods movers need a USDOT number and FMCSA registration, and must give customers the 'Your Rights and Responsibilities When You Move' booklet and a written estimate before a contract. It also expects estimates to follow a physical survey, on site or virtual, unless the customer waives it in writing. The AI should never state a binding price.
Consent for automated follow-up. Moving leads often come from quote forms and lead sellers. Before any AI-voiced outbound call, confirm the lead consented to calls from your company; the FCC treats AI voices as artificial voices that need prior express consent, and written consent for marketing.
