The short answer

An AI receptionist for painters built on HighLevel Voice AI costs about $0.28 per answered call, or $37 a month for 130 calls averaging 3.5 minutes, phone line included. Roughly 26 of those calls (20%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Scope the job

Asks interior or exterior, which rooms or sides, whether ceilings and trim are included and the home's age, then books an estimate.

Flag pre-1978 homes

Asks when the home was built and tags houses built before 1978, so the estimator plans for lead-safe work practices.

Answer timeline questions

Gives your current start window and typical job lengths from the knowledge base, without committing to a date before the estimate.

Handle cabinet inquiries

Collects the number of doors and drawers, the current finish and whether the boxes need painting too, then requests photos by text for the estimator.

What to send to a person

  • Pricing and change orders
  • Complaints about peeling, drips or color mismatch
  • HOA color approval questions
  • Commercial repaints

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical painting contractor: 130 calls a month answered by the AI, averaging 3.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 4 phone minutes at $0.01165.

Compared with staff time

Those 130 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $139, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThanks for calling the painting company. I'm an automated assistant. Are you looking for interior or exterior painting?

CALLERInterior. Living room, dining room and the hallway.

AI AGENTGreat. Would that include ceilings and trim, or walls only?

CALLERWalls and trim. The ceilings are fine.

AI AGENTGot it. Roughly what year was the home built?

CALLER1965, I think.

AI AGENTThanks. Homes built before 1978 may have lead paint, so our estimator will check and plan for lead-safe work if needed. I have estimate times Monday at 5 p.m. or Wednesday at 10 a.m.

CALLERMonday at 5.

AI AGENTYou're booked. I'm texting a confirmation and a link where you can send photos of the rooms beforehand.

Prompt tips

  1. Tip 1Make the build-year question mandatory, and give the agent one approved sentence about lead-safe practices for homes built before 1978.
  2. Tip 2Tell it your current start window and update it weekly; callers ask 'when can you start?' more often than they ask about price.
  3. Tip 3Forbid square-foot pricing on the phone unless you actually price that way, since painting quotes depend on prep and surface condition.

Rules to watch

Lead-safe work in older homes. EPA's Renovation, Repair and Painting Rule requires anyone paid to disturb painted surfaces in homes, child care facilities and preschools built before 1978 to be certified, with employees trained. Have the AI ask the build year on every estimate call and never tell a caller that lead rules don't apply.

Consent for quote texts and calls. Record on the estimate form that the customer agreed to texts about their quote, and keep a separate box for marketing. If you add AI-voiced follow-up calls, the FCC's 2024 ruling treats them as artificial voice calls that need prior express consent.

Questions

Can an AI receptionist book painting estimates?
Yes. Voice AI can ask the scope questions, check the estimator's calendar and book the visit during the call, then text a confirmation and a photo link. It can route cabinet jobs to one estimator and exteriors to another if they keep separate calendars.
What does an AI receptionist cost a painter?
Using our assumption of 130 calls a month at 3.5 minutes, pay-per-use comes to about 28 cents a call, or roughly $37 a month including phone minutes. There's no minimum on pay-per-use, so a painter with fewer calls pays less.
Should the AI mention lead paint to callers?
It should ask the build year and, for pre-1978 homes, say one short approved sentence about lead-safe work. It shouldn't test, diagnose or reassure. EPA's RRP rule sets the certification and work practice requirements, and your certified renovator is the right person to explain them.
Can the AI answer questions about paint brands and colors?
Only what you tell it. Add the brands you use and your color consultation process to the knowledge base, and it can handle 'which paint do you use?' calls. Specific color advice belongs to your consultant or estimator.
