The short answer
An AI receptionist for plumbers built on HighLevel Voice AI costs about $0.24 per answered call, or $67 a month for 280 calls averaging 3 minutes, phone line included. Roughly 98 of those calls (35%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Walk a caller to the main shutoff
For active leaks, tells the caller where main water shutoffs are usually found (basement, crawl space, near the water heater or by the meter) and asks them to close it while help is arranged.
Sort emergencies from routine jobs
Asks whether water is flowing now, whether sewage is coming up any drain and whether there is still hot water, then either transfers to the on-call plumber or books the next open slot.
Book estimate appointments
Collects the address, the fixture or system involved and the home's age, then books the estimator's calendar and texts a confirmation with the arrival window.
Answer service area and fee questions
States your service area, trip or diagnostic fee and payment options from the knowledge base, and declines to guess at repair prices it has not been given.
What to send to a person
- Gas smell or a suspected gas line leak: the AI tells the caller to get out and call the gas utility or 911, then alerts the owner
- Sewage backups in apartment buildings or businesses
- Price disputes, callbacks on recent work and warranty claims
- Insurance questions about water damage
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical plumbing company: 280 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $57.12 | $9.79 | $67 | $0.24 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $73.92 | $9.79 | $84 | $0.30 |
| Pay per use, speech-to-speech (OpenAI) | $168.00 | $9.79 | $178 | $0.63 |
| AI Employee Unlimited, $97 flat | $97.00 | $9.79 | $107 | $0.38 |

Compared with staff time
Those 280 calls take about 14 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $256, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTYou've reached the after-hours line for the plumbing team. I'm an automated assistant. Is water leaking in your home right now?
CALLERYes, a pipe under the kitchen sink split and there's water everywhere.
AI AGENTLet's stop the water first. Do you know where your main shutoff valve is? It's often in the basement, near the water heater or by the meter.
CALLERI found it by the water heater. It's off now.
AI AGENTGood. Is any water near electrical outlets or appliances?
CALLERNo, just the cabinet and the floor.
AI AGENTThank you. I'm transferring you to our on-call plumber now and texting them your address. After-hours visits carry an emergency fee, which they'll confirm with you before driving out.
CALLEROkay, thanks.
Prompt tips
- Tip 1Define an emergency in plain terms for your shop, such as water flowing now, sewage coming up or no water at all, and tell the agent everything else waits for business hours.
- Tip 2Give the agent a short, safe shutoff script and forbid any other repair advice, since a caller following bad instructions can make the damage worse.
- Tip 3Put your after-hours fee in the prompt with the exact wording you want, so the caller hears it before the plumber drives out and there is no argument at the door.
Rules to watch
Licensing and permits in general terms. Plumbing licenses are issued by states and sometimes by cities or counties, and the FTC tells homeowners to confirm a contractor's license with their state or county. Put your license number in the AI's knowledge base so it answers that question accurately, and never let it tell a caller a permit is unnecessary.
Texting and calling consent. Under FCC rules, robotexts and AI-voiced robocalls need the recipient's prior express consent unless an exemption applies, and a customer can revoke consent by any reasonable method. Honor STOP replies at once, and send maintenance promotions only to customers who opted in to marketing.
