The short answer
An AI receptionist for pool service companies built on HighLevel Voice AI costs about $0.20 per answered call, or $29 a month for 140 calls averaging 2.5 minutes, phone line included. Roughly 21 of those calls (15%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.
What the AI should handle
Quote weekly service
Asks pool size, chlorine or salt system, whether trees hang over the water and the frequency wanted, then gives your range and books a start visit.
Triage equipment problems
Asks what is not working, whether a breaker tripped and what error codes show, then books a repair visit on the service calendar.
Take vacation holds and skips
Records the dates the customer will be away or wants skipped, and passes them to the route technician and the office by text.
Handle chemical questions safely
Tells callers not to add or mix chemicals themselves and to wait for the technician, and never gives dosing amounts or product advice.
What to send to a person
- Anyone reporting chemical exposure or feeling sick after swimming: 911 or poison control guidance, then a person
- HOA, apartment and community pool accounts
- Leak detection and major repairs
- Billing disputes
HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.
Cost per call and per month
Assumptions for a typical pool service company: 140 calls a month answered by the AI, averaging 2.5 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.
| Setup | AI cost | Phone line | Per month | Per call |
|---|---|---|---|---|
| Pay per use, Standard voice, GPT-4.1 Mini | $23.80 | $4.89 | $29 | $0.20 |
| Pay per use, ElevenLabs voice, GPT-4.1 Mini | $30.80 | $4.89 | $36 | $0.25 |
| Pay per use, speech-to-speech (OpenAI) | $70.00 | $4.89 | $75 | $0.53 |
| AI Employee Unlimited, $97 flat | $97.00 | $4.89 | $102 | $0.73 |

Compared with staff time
Those 140 calls take about 6 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $107, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.
Sample call
AI AGENTHi, thanks for calling the pool service office. I'm an automated assistant. Are you a current customer?
CALLERYes. My pool turned cloudy since yesterday and we have people coming Saturday.
AI AGENTSorry about that. Has anything changed recently, like heavy rain, lots of swimmers or the pump not running?
CALLERWe had a big storm, and the pump seems to be running fine.
AI AGENTThanks. Please don't add any chemicals yourself for now. I'm booking an extra visit before Saturday. Would Thursday morning or Friday afternoon be better?
CALLERThursday morning.
AI AGENTDone. Your technician will test the water and text you the results after the visit.
Prompt tips
- Tip 1Tell the agent never to recommend chemical amounts or products, and give it one safe line about waiting for the technician.
- Tip 2Load each route's service day by area into the knowledge base, so the agent can answer 'when is my visit?' without a person.
- Tip 3List urgent phrases, such as a broken drain cover, a strong chlorine smell indoors or someone feeling ill, and tell the agent to route those to a person at once.
Rules to watch
Community pool drain rules. The Virginia Graeme Baker Pool and Spa Safety Act requires public pools and spas, a definition that includes pools for apartment complexes, residential developments, hotels and clubs, to have drain covers meeting the federal standard. If you service those pools, have the AI treat calls about missing or broken drain covers as urgent and route them to a person.
Consent for route texts and promotions. Visit reports and reminders are service texts; opening specials and equipment promotions are marketing and need consent. Honor opt-outs made in any reasonable form, and don't use AI-voiced calls for promotions without prior express written consent, per the FCC's 2024 ruling.
