The short answer

An AI receptionist for nonprofits built on HighLevel Voice AI costs about $0.24 per answered call, or $36 a month for 150 calls averaging 3 minutes, phone line included. Roughly 60 of those calls (40%) would come outside office hours, which is where an AI answering service earns its keep. Emergencies, complaints and anything needing judgment should go to a person.

What the AI should handle

Answer program questions

Explains programs, hours, locations and basic eligibility from the knowledge base, and routes callers to the right coordinator for intake.

Handle volunteer calls

Signs new volunteers up for the next orientation, texts what to wear and where to park, and logs shift changes or cancellations for the volunteer coordinator.

Take event RSVPs

Records RSVPs, meal choices and guest names for events, and texts a payment link when tickets are paid.

Route receipt requests

Takes donor details for receipt or tax letter requests and sends them to the finance or development team without discussing gift amounts.

What to send to a person

  • Major gift and planned giving conversations
  • Clients in crisis or needing urgent services
  • Complaints and media inquiries
  • Questions about whether a gift is tax-deductible

HighLevel's voice agents can transfer a live call, create a task, or trigger a workflow that texts the owner. Set the handoff rules before the agent goes live.

Cost per call and per month

Assumptions for a typical nonprofit: 150 calls a month answered by the AI, averaging 3 minutes. Phone minutes are billed per call and rounded up, so each call bills 3 phone minutes at $0.01165.

Compared with staff time

Those 150 calls take about 8 hours of talk time a month. At the US median receptionist wage of $18.27 an hour (May 2025, Bureau of Labor Statistics), that talk time alone is worth about $137, before hold time, breaks, benefits and the calls that come in after hours. An AI receptionist does not replace a good front desk; it catches the overflow and the evenings, and frees staff for the people in front of them.

AI AGENTThank you for calling Eastside Food Partners. I'm the organization's AI assistant. How can I help?

CALLERI'd like to volunteer at the food pantry on weekends.

AI AGENTThank you for offering. Weekend shifts run Saturday from 8 am to noon, and new volunteers start with a one-hour orientation. The next ones are Tuesday at 6 pm or Saturday at 8 am. Which works?

CALLERSaturday at 8.

AI AGENTYou're booked for orientation Saturday at 8. Please wear closed-toe shoes. May I text you the address and our volunteer form?

CALLERYes, and can I bring my teenage son?

AI AGENTVolunteers under 18 have their own rules, so our volunteer coordinator will call you tomorrow about your son. I'm texting the form now.

CALLERPerfect, thanks.

Prompt tips

  1. Tip 1Tell the agent never to discuss whether a gift is tax-deductible or give tax advice; it takes details for the finance team.
  2. Tip 2Describe eligibility basics in plain language, but have the agent route anyone describing an urgent need to a staff member right away.
  3. Tip 3Keep volunteer rules such as minimum age and orientation dates in the knowledge base so every volunteer hears the same answer.

Rules to watch

Consent for calls and texts. The FCC lets tax-exempt nonprofits make up to three artificial or prerecorded voice calls to a residential line in 30 days without consent. That exemption does not extend to cell phones, so AI calls and texts to mobiles need consent. Collect it on donation and volunteer forms.

Donor acknowledgments. The IRS requires a written acknowledgment for single gifts of $250 or more, naming the organization and amount and stating whether goods or services were given in return. Gala tickets over $75 that include dinner need a disclosure of the deductible portion. Finance staff, not the AI, should answer deductibility questions.

Questions

What can an AI receptionist do for a nonprofit?
It can answer program questions, sign up volunteers, take event RSVPs and route donor requests after hours and while staff are in the field, which frees coordinators from repeat questions. It should never make eligibility decisions or promise services; those stay with program staff.
What does an AI receptionist cost a nonprofit per month?
At our assumed 150 calls a month averaging three minutes, pay per use comes to about $27 for the voice engine and a standard voice plus about $5.20 in phone minutes, before AI model tokens. We did not see a nonprofit rate for Voice AI in HighLevel's published AI pricing.
Can the AI make fundraising calls?
Outbound Voice AI calls are possible, but take care. AI voices count as artificial voices under the TCPA, calls to cell phones need consent, and nonprofit calls to residential lines are capped at three in 30 days without consent. Thank-you calls to donors who agreed to calls are a safer use than cold appeals.
How should the AI handle someone in crisis?
It should not try to help alone. The prompt should direct the AI to give emergency options such as 911 or the 988 Suicide and Crisis Lifeline where appropriate, then transfer to staff or send an urgent alert. Program staff decide on services, not the AI.
